Bid Attributes
1 Overview
This RFQ is for a multi-year contract to produce, pack, and ship 'Welcome Boxes' to new online orientation students
as needed. Approximately 1,600 first-year and transfer students will receive a box prior to the summer/fall
semesters and approximately 250 incoming students will receive them ahead of the spring semester. Contracts will
be for one (1) year and can be renewed for two (2) additional one (1) year periods with the written consent of both
parties. Iowa State does not imply or guarantee any quantity or frequency of business as a result of this bid.
Iowa State University intends to award this contract to one supplier. ISU reserves the right to award to multiple
suppliers if it is in the best interest of the University.

2 Evaluation Criteria
The evaluation of this RFP/RFQ may be based upon, but not limited to:
Ability to meet required specifications
Provide required materials in bid
Provide kitting services
Ability to meet timeline proposed in bid
Mail boxes weekly as needed
Ability to store extra items between kitting projects
Ability to use customer supplied design files
Availability of Customer Support
Total cost for Iowa State University
Ability to meet preferred specifications
Ability for Iowa State University to provide select items to be included in kit
Ability to bulk ship or deliver kits to New Student Programs Office as needed to allow for in-person pickup by
students when requested
Ability to provide design services if needed

3 Suppliers must be currently licensed with ISU Trademark in order to bid on these items.
Due to the timeframe and restrictions with new licenses, suppliers must already be licensed to produce ISU branded
materials at time of bid submission to be eligible for award.

4 Kitting and Shipping
ISU will provide awarded supplier drawstring bags and pens to be included in boxes.
Drawstring bags must be folded at bottom of bag.
Letter must be on top when box is opened.
All other items can be placed in the most efficient order to be determined by awarded supplier.
Kitting must include red and yellow tissue paper or crinkle paper as shown in attachment.
Box will be sealed shut with clear packing tape.
Boxes will be sent out on a weekly basis as student addresses are received.
Supplier will be responsible for coordinating the most cost-effective shipping method.

5 ISU Supplied Items
Iowa State University has items in inventory that would be provided to supplier to be included in the boxes. At this
time, those items are drawstring bags and pens, but that is subject to change on future projects dependent on
available space in boxes. Please indicate your ability to include these items in the kits.
