Synopsis:

1.1 Invitation to Proponents
This Request for Proposals (“RFP”) is an invitation by the Saskatoon Public School Division (“SPSD”) to prospective proponents to submit proposals for the provision of Website & Portal Replacement as further described in the RFP Particulars (Appendix A) (the “Deliverables”).
This Request for Proposal (RFP) invites submissions for a multi-year Website & Portal Replacement project. Saskatoon Public Schools (SPSD) seeks a qualified proponent to:
1. Replace the current public-facing websites.
2. Migrate internal/department portal pages (e.g., Human Resources portal).
3. Align and integrate various existing Microsoft Teams environments.
4. Develop a multi-year strategy to streamline and consolidate communication channels for all stakeholders.

The current environment includes an on-premises installation of SharePoint 2019, coupled with Microsoft Teams, Office 365 (O365), and a hybrid Active Directory. The proposed solution must be a commercial off-the-shelf (COTS) offering, developed within a SharePoint Online framework to align with SPSD’s existing infrastructure and support the division’s operational needs.
In addition to SharePoint for websites and portal pages, SPSD uses the following systems that should be of note to proponents: MySchoolSask (student information system), SchoolMessenger Communicate (parent notifications), Edsby (school/teacher-to-parent communication), SafeArrival (unexplained absence notification), and KEV MySchoolCash Online (online payments integrated with SIS and ERP). While compatibility with these systems is considered an asset, SPSD sees value in proposed solutions that can consolidate or streamline these systems into a more unified experience for users, as part of a multi-year project.
The successful proponent will collaborate with SPSD to develop an implementation plan that minimizes disruption. Preference will be given to proponents with proven experience delivering projects of similar scope and scale for other school divisions in Canada.
