2026 VASAP Annual Training Conference

The Commission on VASAP is seeking proposals for the annual training conference to be held on August 4-6, 2026. The proposal shall include the following:Overnight lodging for up to 150 participants for August 4 and 5, 2026 per state per-diem rates. Breakfast and lunch at state per-diem for up to 150 participants for August 5 and 6, 2026.Break food and drinks at state per-diem rates for up to 150 participants on August 5 in the morning and afternoon and August 6 in the morning.General meeting space to accommodate up to 150 participants in a classroom style setting for August 5 and 6, 2026.A break-out room to accommodate 50 participants on August 5 and 6, 2026.Registration area and a separate storage space for August 4-6, 2026. Audio visual to include six microphones, 1 lavalier, 3 presentation screens and 2 podiums for August 5 and 6, 2026 with a set-up on August 4, 2026.Five exhibit tables with two chairs each and the ability to connect power on the evening of August 4 and lasting through August 6, 2026.The general and break out rooms must be set up by the afternoon or evening of August 4, 2026.There should be water stations set up in the general meeting area throughout the conference.Proposals must be submitted as an attachment through the eVA system, to include itemized pricing, and not by any other means. In addition, the line item section within this posting in eVA must also be completed with the total cost of the entire proposal. Only proposals submitted directly by the venue will be accepted. No 3rd party submissions permitted. Only submissions submitted through eVA will be considered.
