Summary
Overview
The Regents of the University of California, on behalf of its Davis campus’ Student Housing and Dining Services (SHDS)
will award Agreement(s) for access control upgrade and replacements. SHDS invites your company to submit a proposal
to provide this service.
Request for Proposal (RFP) Schedule
Mandatory Online Technical Bid Review
Suppliers are required to participate in the Online Technical Bid Conference. Online meeting information will be sent to
Suppliers who both accept the Mandatory Guidelines in the online bid and intend to submit a proposal in response to
this RFP. Ensure that your company has a listed contact name, phone number, and email address within CalUsource in
order to receive the webinar information.
Mandatory Site Walkthrough
Suppliers are required to attend a mandatory site walkthrough. Date and time will be provided at the Mandatory Online
Technical Bid Review.
Invite-Only Demo
Suppliers who are determined to meet the requirements of this RFP will be invited to provide a demo of their proposed
work. This will be an invite-only appointment.
Questions
Questions can be submitted through the CalUsource System at any time during the RFP. SHDS does not guarantee
answers to questions that are submitted prior to or on the day that the bids are due.

Agreement Term
Any Agreement resulting from this request will be established for a period of five (5) years with the option to renew for
two (2) additional one (1) year periods. SHDS may elect to run an RFP after the initial five (5) year period. Continuation
of the Agreement during this in-between period will be mutually agreed on by both parties. In the event that a mutual
agreement cannot be reached, either party may give the other party a thirty (30) day notice of the intent to terminate
the Agreement. During the thirty (30) day notice period, there can be no changes in pricing for product lists that are in
effect at the time, and Supplier shall honor any and all orders received prior to the completion of the thirty (30) day
notice period.
Evaluations
Proposals meeting minimum requirements will be considered Responsive Proposals and will be reviewed and scored by
an evaluation committee, against the stated Evaluation Categories and submitted Cost Proposals. The committee may,
at its sole discretion, review references, request oral presentations, request follow-up questions, request samples,
and/or conduct an on-site Supplier facility visit, and use the results in scoring the proposals.
Responsive Proposals will be evaluated using a Best Value method.
Bids submitted under this RFP will be valid for ninety (90) days from the date that the bid closes. The SHDS reserves the
right to reject all proposals and to make no award. Unless stated otherwise in this RFP, SHDS reserves the right to make
multiple awards or to award items separately or in the aggregate as the interests of SHDS may appear.
