Point of Sale System Request for Proposal
Overview
The Regents of The University of California (UNIVERSITY), on behalf of its Davis campus, is seeking a solution for a fully
functional Point of Sale (POS) System and related equipment. University invites Suppliers to propose a solution that can
support a College/University Auxiliary the size and complexity of Student Housing and Dining Services and The
Associated Students of UC Davis (ASUCD) Coffee House, to manage all point-of-sale locations for residential dining, retail
restaurants, markets, and off-site concessions.

Agreement Term
Any Agreement(s) resulting from this request will be established for a period of three (3) years with the option to renew
for seven (7) additional one (1) year extensions. Continuation of the Agreement beyond the third year will be mutually
agreed upon by both parties. In the event that a mutual agreement cannot be reached, either party may give the other
party a thirty (30) day notice of intent to terminate the Agreement. During the thirty (30) day notice period, there can
be no changes in prices and service levels in effect at the time, and Supplier shall honor any and all orders received prior
to the completion of the thirty (30) day notice period.
Pricing Quotation
Supplier will enter pricing onto the pricing workbook attachment in the online bid page. Once an agreement is fully
signed, price increases may not be implemented without the mutual written agreement of the University on behalf of
SHDS.
Evaluations
Proposals meeting mandatory requirements will be considered Responsive Proposals and will be reviewed by an
evaluation committee and scored against the stated Evaluation Categories. The committee may, at its sole discretion,
review references, request oral presentations, and conduct an on-site visit, and use the results in scoring the proposals.
Responsive Proposals will be evaluated using a Best Value method comprised of a Price Score plus a Quality Score.
Best Value Score (100%) = Price Score (25%) + Quality Score (75%)
The Quality Score will be evaluated by a committee and will be based on the questionnaire attachment that each bidder
submits. The Price Score will be calculated by the Buyer who is conducting this RFP and will be calculated based on the
POS hardware needs of the department and the costs submitted by the supplier.
Bids submitted under this RFP will be valid for one hundred and twenty (120) days from the date that the bid closes. The
University reserves the right to reject all Proposals and to make no award. Unless stated otherwise in this RFP, the
University reserves the right to make multiple awards or to award items separately or in the aggregate as the interests
of University may appear.
