Summary
Overview
The Regents of the University of California, on behalf of its Davis campus’ Student Housing and Dining Services,
Conference Housing Operations unit (SHDS), invites suppliers (Supplier) to submit proposals for linen laundering for their
conference housing season in 2026.
SHDS provides conference guest housing during the Summer monthly only. For the 2026 conference season, the planned
SHDS dates are June 20, 2026, through September 13, 2026.
SHDS estimates needing roughly 7,689 sets of linen laundered during their highest populated week and roughly 196 sets
of linen laundered during their lowest populated week.

Agreement Term
Any Agreement resulting from this request will be established for a period of one (1) year. The University may elect to
run an RFP after the initial one (1) year period. Continuation of the Agreement during this in-between period will be
mutually agreed on by both parties. In the event that a mutual agreement cannot be reached, either party may give the
other party a thirty (30) day notice of the intent to terminate the Agreement. During the thirty (30) day notice period,
there can be no changes in pricing for product lists that are in effect at the time, and Supplier shall honor any and all
orders received prior to the completion of the thirty (30) day notice period.
Evaluations
Proposals meeting minimum requirements will be considered Responsive Proposals and will be reviewed and scored by
an evaluation committee, against the stated Evaluation Categories and submitted Cost Proposals. The committee may,
at its sole discretion, review references, request oral presentations, request samples, and/or conduct an on-site Supplier
facility visit, and use the results in scoring the proposals.
Responsive Proposals will be evaluated using a Best Value method.
Bids submitted under this RFP will be valid for ninety (90) days from the date that the bid closes. The University reserves
the right to reject all proposals and to make no award. Unless stated otherwise in this RFP, the University reserves the
right to make multiple awards or to award items separately or in the aggregate as the interests of University may
appear.
