2.0 SCOPE OF GOODS AND/OR SERVICES AND APPLICABLE SPECIFICATIONS
This Specification establishes the minimum requirements for this solicitation, listed and described in the body of these specifications, to be used as noted, by The School Board of Osceola County, FL. The Intent of this bid is to select bidder(s) to provide security and video surveillance parts on an as needed basis. The items will be separated into Seven (6) lots by categories of Licenses, Camera’s, Accessories, Parts, and Percentage % off Catalog Discount Option that the District can award on a per-lot basis or all or none for the lots, whichever is in the best interest to the District. A. CATALOG WITH BID
All Bidders must submit a web site address or furnish an electronic price list to be used under this contract with their bid submittal.
B. CATALOGS TO SDOC LOCATIONS
Awarded Bidder(s) shall furnish the electronic information of the same catalog (s) as presented with the bid to all schools and departments within the School Board. A list of locations will be supplied to awarded Bidder(s). Catalog dispersal is a responsibility of the awarded Bidder, not the School Board.
C. CATALOGS UPDATED ANNUALLY
Each year as catalogs are updated, the awarded Bidder(s) shall notify all schools and departments of the changes. Prior to the release of catalog updates, awarded Bidder(s) must contact the Procurement Services Department to obtain a current list of locations, contacts, and to establish new catalog effective date. Catalog information dispersal is a responsibility of the awarded Bidder(s), not the School Board.
D. ELECTRONIC CATALOGS
The School Board prefers to use a web-based version of catalogs; however, prices must be configured with the discount already taken. Online ordering may use the School Board’s Purchasing Card Program.
E. UPDATING OF CATALOGS
Bid pricing will be held to the current catalog in use by all schools and departments. Price increases will not be allowed until a new catalog has been approved by the designated buyer in the Procurement Services. Once approved, it will be the awarded Bidder’s responsibility to distribute information of updates to each school and department utilizing this bid. Booklets and pricers used to adjust catalog pricing will not be acceptable. As catalogs require updates, it is the awarded Bidder’s responsibility to have the following:
• Catalog updates must be approved by the designated buyer in the Procurement Services Department before effective date and distribution to the rest of the schools/departments.
• Distribute catalog updates to all schools and departments with notice explaining new pricing, before effective date.
• Establish effective date with buyer after the requirements above have been met.
Any price discrepancies, which occur as a result of the awarded Bidder not following the above guidelines, must be honored by the awarded Bidder.
F. NEW ITEMS
New items appearing in the awarded Bidder’s catalog released after the bid opening date are to be covered by this bid as if these items were originally included in the catalog(s) submitted with the bid.
