SECTION A NOTICE TO BIDDERS
Sealed proposals for performing the work herein described will be received by the Village Board of Sleepy Hollow, New York, at the Office of the Village Clerk, 28 Beekman Avenue, Sleepy Hollow, NY 10591, on May 6, 2025 at 11:00 a.m. and immediately thereafter the bids will be publicly opened and read aloud in said office.
The Contractor shall furnish all labor, materials and equipment necessary to install concrete sidewalks, brick paver strips, crosswalks and concrete curbs along Broadway (NYS Route 9) in the Village of Sleepy Hollow. Other related work shall include preparing, restoring and cleaning the project area all in accordance with the plans and specifications as directed by the Engineer. There will be a highway work permit from the New York State Department of Transportation. The project is partially funded with a grant from the States and Municipalities Grant from the Dormitory Authority of the State of New York and is subject to Federal and State requirements.
Contract Documents may be obtained on the Village website, or at the above office of the Village Clerk on or after 2:00 p.m., April 24, 2025 upon payment of a cash deposit, certified check or a company check in the amount of $100.00 for each set, which will be refunded upon return of said Contract Documents in good condition within 10 days after receipt of Bids. ). Bidders shall promptly notify Mr. Giaccio of any errors, omissions, conflicts or ambiguity within the Contract Documents within five (5) days of bid opening.
Bids shall be made on the separate Bid Proposal Forms furnished with the Specifications and must be accompanied by a Bid Bond acceptable to the Village or a certified cashier’s check drawn on a solvent bank in the amount of not less than 5% of the total amount of the Bid. Checks shall be made payable to the Village of Sleepy Hollow, New York, and are to be held by the Village as a guarantee for the proper execution and delivery of the Contract and bonds to secure the faithful performance thereof. In default of such execution and delivery of Contract and Bonds, the amount of the deposit represented by the check shall be forfeited to and retained by the Village of Sleepy Hollow as liquidated damages.
Contractors submitting a bid are strongly encouraged to visit the site prior to submitting a bid.
Proposals shall be enclosed in a sealed envelope bearing the name and address of the Bidder, addressed to the Village of Sleepy Hollow, 28 Beekman Avenue, Sleepy Hollow, New York 10591 and endorsed “Proposed Route 9 Sidewalk Improvements at Philipsburg Manor, Sleepy Hollow, New York”.
The Village of Sleepy Hollow reserves the right to reject any and all Bids, to waive any informality in any Bid, and to award the Contract to other than the lowest Bidder if deemed in the best interest of the Village to do so.
