The following questions were submitted for clarification and/or to request additional information. All questions that were submitted are
listed below, along with the response and/or information requested. Effective this date, this addendum forms part of the contract
documents and modifies the original RFP.
Question # 1: If a solution is an all-inclusive one that requires the joint purchase of VoIP service and associated
handsets and ATAs, would that be considered as an option by the District, or is that considered non-responsive?
Response # 1: We will consider this option.
Question #2: Can we include Session Border Control to the SIP Trunk Part D portion of the RFP?
Response #2: Yes, we will consider this option.
Question #3: How many sites total?
Response #3: 32
Question #4: Do you need local failover for each remote site?
Response #4: No.
Question #5: Is there a need for POTS or a PRI at the remote sites, or can we provide a full SIP solution?
Response #5: SIP only.
Question #6: What do you prefer a centralized or a decentralized approach to the design?
Response #6: Centralized.
Question # 7: Will the district consider a VOIP solution other than Cisco Webex?
Response # 7: Yes, we will consider a comparable solution.
Question #8: Assuming a yes to first question, should pricing for phones be included in per month costs or as a
capex expense?
Response #8: We will consider both pricing.
Question #9: Please clarify date of when bids are due and when the district will make an award.
Response #9: See page 29 Lists the estimated timeframes.
Question #10: Page 8, 4.4.3 Are these 1400 individual users or simultaneous? Currently in use or no?
Response #10: 69 simultaneous; 1400 high priority users
Question #11: How many classroom phones do you need compared to admin phones?
Response #11: 1500 classroom; 500 admin

Question #12: Do you want 911 per building or per location of each phone?
Response #12: Per building.
Question # 13: How many physical addresses?
Response # 13: 32
Question #14: Do you have any specs for hardware minus the features you already listed out?
Response #14: No.
Question #15: Is this an all-inclusive bid or can we just bid the phones and not the Cisco Webex?
Response #15: You can just bid on the hardware.
Question #16: In order to provide an optimal solution and best possible pricing, would the District consider an
extension on the Proposal due date of at least two weeks?
Response #16: No
Question #17: Section 4.4.5.2 Installation and Implementation of the RFP states Project implementation and
installation will begin after July 1, 2019”. Does the District have a firm date(s) for completion of implementation and
installation?
Response #17: December 2019
Question #18: Will the District allow physical site surveys? If so, please provide the name and contact information
for the District contact to coordinate the surveys.
Response #18: No
Question #19: Would the District be open to a Part D: SIP Trunk Services only bid? If yes, please identify
the manufacturer as well as the current software/firmware version of the device the SIP trunks will
terminate to.
Response #19: Yes, but the vendor is not applicable.
Question #20: Part A: VOIP Cloud Calling Services 2(c): Integration with Microsoft AD: is this a
mandatory requirement (show stopper)?
Response #20: Yes

Question #21: Please provide specific requirements for the following Part A: VOIP Cloud Calling Services:
Response #21:
a. 1(c) Intercom and Paging Front Row Integration
b. 1(d) Each site operates independently for intercom and room to room paging. (Is extension to extension
intercom required?) Yes
c. 1(k) HD audio and video calling Question needs more clarity to answer.
d. 1(q) Security and Encryption Session Border is included in the RFP.
Question #22: Please define what you are requesting with “Voicemail on Hold”. Was this intended to say “Music
on Hold” ?
Response #22: Yes
Question #23: Please define what you are requesting with “Automatic Pickup on Busy”. Was this intended to say
“Automatic Call Pickup”?
Response #23: The call reverts back to an auto attendant to transfer to another operator.
Question #24: Installation for six (6) sites with training for IT staff to do remaining sites for a maximum of 600
phones.” Are you requesting that the contractor install a maximum of 600 phones, or that the District will install a
maximum of 600 phones?
Response #24: The vendor to install 600 phones alongside our team.
Question #25: RFP Committee will make decision on Part A first. Part B phone must be compatible with VOIP
Cloud Service awarded in Part A.
Are you saying that the cost of the handsets has no impact on the District’s decision in the VoIP Service
Provider?
Response #25: All costs will be considered, but the VOIP Cloud Service is prioritized in both technical and cost
considerations.
Question #26: “SDPC will purchase equipment listed in the RFP from July 2019 thru June 2020.” How many
phones does the District anticipate it will be ordering up front?
Response #26: 2000

Question #27: The Deadline to Submit Proposal is June 19, 2019 by 10:00 AM. The “Issue Notice of
Intent to Award Notice is On or around June 17”. What is the correct date for Notice of Intent to Award?
Response #27: See page 29 for estimated dates.
Question #28: Tariffs imposed on goods manufactured overseas may affect hardware pricing. When are the
earliest and latest dates that the District might issue a purchase order for the proposed equipment?
Response #28: PO should be issued mid-July to mid-August 2019.
All other requirements and provisions of the Request for Proposals remain unchanged.
