RFP Audio Visual Systems for J.V. Fletcher Library Renovation and Expansion Project

The Town of Westford, acting through the J.V. Fletcher Library Building Committee, invites sealed proposals from qualified firms for the furnishing, installation, configuration, programming, testing, commissioning, training, and warranty of Audio Visual Systems for the J.V. Fletcher Library Renovation and Expansion Project located at 50 Main Street, Westford, Massachusetts.

This procurement is being conducted in accordance with M.G.L. c. 30B, §6 (Request for Proposals).

The work generally includes, but is not limited to, audio visual systems serving the Multipurpose Meeting Room, AV Control Room, Trustees Room, Conference Room, Mary Atwood Room, Young Adult Area, and associated supporting equipment, controls, programming, training, commissioning, and warranty services.

A non-mandatory pre-proposal site visit will be held on August 28, 2026 at 9:00 AM at the J.V. Fletcher Library, 50 Main Street, Westford, MA. This is an active construction site. Wear appropriate PPE and be prepared to adhere to General Contractor Safety Rules.

Questions regarding this procurement shall be submitted in writing no later than August 31, 2026 at 5:00 PM. Addenda, if required, will be issued by September 3, 2026.

Sealed proposals shall be received by the Town no later than September 8, 2026 at 4:00 PM at:

Proposals shall be submitted in a sealed envelope clearly marked: "RFP – J.V. Fletcher Library Audio Visual Systems"

Late proposals will not be accepted.

The contract will be awarded to the responsive and responsible proposer whose proposal is determined to be the most advantageous to the Town, taking into consideration the evaluation criteria set forth in the Request for Proposals and proposed price.

The Town of Westford reserves the right to reject any or all proposals, waive minor informalities, and award the contract in the best interest of the Town.
