Pre-Proposal Meeting Conference Call

Due to the nature of this RFQ a mandatory pre-proposal meeting will be held via conference call Tuesday, February
27, 2024 at 1:00 pm CST.
If you intend to respond to this RFQ and attend the pre-proposal meeting please email Tisha Campbell at
tishac@iastate.edu and indicate the name of the attendee(s) and provide an email address to be sent the invitation to
the meeting.
The purpose of the pre-proposal meeting is to answer questions and provide further clarification as may be required.
Please hold all questions until the pre-proposal meeting conference call.
Verbal statements made by ISU representatives at this meeting, regarding changes in this request for quote, will not
be considered binding, unless confirmed by written addenda issued by ISU.
Attendance at the pre-proposal meeting conference call is mandatory. Failure to attend or have representation at this
meeting will result in Company or individual being ineligible to participate in the competitive process.

Bid Attributes
1 Introduction
Iowa State University of Science and Technology (also referred to as ISU or University) in Ames, Iowa, desires to
obtain proposals to establish a Contractual Agreement (also referred to as Contract) for the purchase of Dorm
Furniture including delivery and installation services for Iowa State University, Ames, Iowa, as outlined in the Scope
of Work/Specifications section. The Agreement will be for the period of June 1, 2024 through May 31, 2029, with the
option to renew for a second (5) five year period, unless earlier terminated, all in accordance with these
specifications. Note: The agreement dates are tentative to change depending on when when the award is finalized.
Iowa State University's Department of Residence will utilize this contract to replace existing dorm furniture on an as
needed basis and furnish new spaces as they arise.
A description of the furniture and services encompassed by this RFQ are provided in the Specifications of this
document. Contractors responding to this RFP must be able to offer furniture, delivery and installation services as
described in the specifications as part of this agreement.
A mandatory pre-proposal conference call will be held on Tuesday, February 27th, 2024 at 1:00 PM CST, for the
purpose of answering questions regarding the contract documents. No verbal statements by ISU or its
representatives will be considered binding at this meeting, unless confirmed by written addenda. All changes and
material clarifications will be forwarded to all specification holders, in the form of a written addendum, after the pre-
proposal conference.

2 Specifications/Scope of Work
Iowa State University is seeking proposals from Contractors to provide high quality durable dorm furniture including
the delivery and installation of these furniture items.
Dorm furniture items will be purchased for new building projects or replacement of existing dorm furniture within ISU
Residence housing on an as needed basis. Dorm furniture proposed shall consist of solid wood, laminate or solid
wood and steel materials. Particle board is not acceptable. The dorm furniture proposed should be of high quality
materials and parts that carry a 10-25 year warranty.
Iowa State University's Department of Residence existing dorm furniture consists of the following items:
Loft/delofted beds
Wardrobe/dresser combo
Desk w/bookshelf
Desk chair
Dimensions of ISU's current dorm furniture has is attached.
The furniture proposed by Contractor must meet the following minimum specifications.
Standard Sized Loft Beds
Standard loft beds proposed shall be made of solid wood or solid wood and steel materials. The bed should be able
to be easily delofted without disassembling the entire bed. ISU would prefer a option that would not require any
tools to adjust or deloft the bed. All loft beds proposed shall have the ladder on the end of the bed. Loft beds
should include a safety rail and clock shelf. Loft bed must fit a 36"x80"x8" mattress. Loft bed height must be able to
accommodate the desk with bookshelf attached under the desk.
Combo Wardrobe/Dresser
Combo Wardrobe/Dresser proposed shall be made of solid wood, laminate, or solid wood and steel materials.

Combo wardrobe/ dresser must consist of a closed double door storage unit, including a hanging rod for hanging
clothes and a minimum of 2 drawers. Drawer box shall be able to hold a minimum 100 lbs. Wardrobe shall have
durable concealed wheels for moving. Maximum height of wardrobe shall be 78". Handles shall be integrated, fixed
and not adjustable. ISU has attached an image of the current storage make-up of the wardrobe that we are using
currently. Wardrobe must comply with the Sturdy Act.
Desk
Desks proposed shall be made of solid wood, laminate or solid wood and steel materials. Desk shall be a
freestanding desk with bookshelf that is easily removed. Shelf on bookshelf should be fixed (no metal pins) and
there should be an attachment to keep the shelf from sliding off the desk. ISU would prefer that desk include 2 small
drawers and one file drawer (max height of 52" with shelf). Lockable wheels if available but not required. No center
drawer in the desk is preferred.
Desk Chair
ISU would prefer a chair that can be used for multiple purposes but will also consider 2 position chairs. The chair
would need to be able to be used as a desk chair and also be utilized as chair for other purposes such as gaming,
relaxing etc. Cushions should have the ability to be easily removed for cleaning, repair services or replacement.
Material Finishes
Contractor will need to provide their standard wood and metal finishes with their response.
Pricing
Contractor shall provide a discount price schedule for all proposed furniture items and including any price tier
information. ISU would like pricing on individual items and pricing on example projects. ISU has provided 4
examples, two for small projects and two for large projects. Stairs and elevators have been addressed in each
example. Contractor will need to provide a quoted price for all 4 example projects including delivery and installation.
Contractor will need to include an itemized quote for each example project. The quotes should show itemized
furniture items and clearly state delivery and installation costs.
Contract Term
The initial contract period shall be for five years beginning June 1, 2024 through May 31, 2029, unless earlier
terminated according to the provisions included herein. Contractor’s performance will be reviewed annually. Should
ISU find Contractor’s performance to be unacceptable, the contract may be terminated effective any June 1 by
providing Contractor with sixty (60) days prior written notification. (note: these dates are subject to change based
on date of award)
Contract Renewal
A contract resulting from this proposal may be renewed by mutual agreement of the parties for an additional (5) five
year period beyond May 31, 2029, using the same terms, conditions, provisions and contract pricing, with the
exception of any mutually agreeable modifications. This renewal contract period would be from June 1, 2029
through May 31, 2034 if renewed. (note: these dates are subject to change based on date of award)
Contacts
Contractor shall provide a minimum of one contact person for all customer service questions. Contractor may elect
to provide a separate contact person for pricing, product, quote, invoicing, order status, service and other specific
requests. At a minimum a name, phone number and email address shall be provided.
Order Entry
When entering information in Contractor’s order system from ISU purchase orders, any price discrepancies should
be brought to the attention of the ISU procurement agent and their approval obtained prior to proceeding with an
order. This information shall be in writing, preferably via email.
When entering information in Contractor’s order system from ISU purchase orders, should the Contractor notice a
discrepancy between the part number and resulting description that differs from the written purchase order or
discrepancies in finish colors, this should be questioned by contacting the ISU procurement agent before
proceeding with the order. If not questioned, and the wrong item is ordered, Contractor may be held partially at fault
and be required to pay all or a portion of the cost of reordering the correct item.
