The final product will result in fast, accurate, and user-friendly software that increases city staff productivity while modernizing the public’s experience. This Request for Proposal (RFP) states the overall scope of products and services desired, specific software functionality, technology foundation as well as desired vendor qualifications

|---|---|---|---|---|
Intro, III | 1,6 | "Can the City please confirm the deadline for submission? The RFP lists both 12pm and 5pm MST." | 12:00 Noon p.m MST
I(1),(3b,c) | 2,4 | "Is the City open to solutions that can replace Bluebeam for plan review in lieu of an integration?" | No
I | 2 | "While the City processed over 1,000 permits in 2025, what is the total estimated volume of historical records (permits, licenses, code enforcement cases) that must be migrated from iWorQ?" | Approximately 15,000 district entries (permits, licenses, code enforcement cases ) and approximately 75GB of files
I(3b) | 4 | "In what format is the current data stored within iWorQ, and will the City provide a clean database export (e.g., SQL, CSV) for the conversion process? Or does the scope include data cleaning?" | CSV
I(3b) | 2,4 | "Does the historical data include digital attachments (PDFs, images), and what is the estimated total storage size of these existing files?" | Yes. Approximately 75GB of PDF files
I(3c) | 4 | "The RFP notes CivicRec is "currently in buildout process" for park/facility rentals. iWorQ currently handles some of those functions. Is there an expectation that the new tracking software will need to co-exist with CivicRec, or replace the iWorQ component of that function once CivicRec is live?" | No.
I(3c) | 4 | "For the integration with the Caselle financial system, is the City looking for a real-time API-based sync or a batch-based flat-file (CSV) exchange for accounts payable and accounting data?" | Integration between the new provider and Xpress Bill Pay may eliminate the need for a Caselle integration; as Caselle and Xpress are already integrated. Assuming the new provider is processing payments and not Xpress, a real-time API-based sync with Caselle would be preferrable; however, a CSV batch would be acceptable.
I(3c) | 4 | "The RFP mentions Xpress Bill Pay for credit card processing. Is the new software expected to integrate directly with Xpress Bill Pay's gateway, or is the City open to utilizing the software's native payment processing if it is more cost-effective?" | While maintaining compatibility with Xpress Bill Pay would provide a seamless integration, the city is open to other payment solutions.
