Bid Submission Requirements
Bid Format:
Bids shall be submitted in the format outlined below, with clear section titles or headers that correspond to each required component. This structure ensures consistency across submissions and facilitates a thorough and fair evaluation process.
1) Executive Summary
a) A brief overview highlighting your firm’s qualifications, understanding of the project, and key differentiators.
2) Company Profile
a) Overview of your firm’s background and core capabilities.
b) Relevant experience in furnishing coworking spaces, event spaces, public facilities, and/or historic spaces.
c) Summary of your team’s qualifications.
3) Project Understanding & Approach
a) A narrative that demonstrates your understanding of the project.
b) Description of your proposed approach to the full furniture lifecycle: scoping (if applicable), procurement, delivery, and installation.
c) If substitutions are proposed during the procurement process, describe the review process and how such substitutions would be communicated and submitted to the owner for approval.
4) Bid Cost(s)
a) Detailed, itemized budget that includes costs for scoping/design consultation (if included), product procurement, shipping/freight, installation, and any other fees.
b) Clearly identify unit pricing, quantities, manufacturer discounts, applicable taxes, and delivery charges.
c) Indicate any bundled savings, cooperative purchasing rates, or value-added services included.
d) Include warranty coverage and terms for all items.
5) Purchase, Delivery, & Installation Timeline
a) Provide an estimated timeline for product ordering, delivery, installation, and project closeout.
b) Identify any dependencies, lead times, or anticipated delays based on current supply chain factors.
6) References
a) Provide contact information for at least two (2) recent clients with similar projects.
7) Compliance Statement
a) A signed statement confirming that the bidder has reviewed and agrees to comply with all terms, conditions, specifications, and requirements outlined in this RFB.
8) Bid Validity Period
a) Bids must remain valid for a minimum of 30 calendar days from the submission deadline.
Submission Instructions:
1) Bids must be submitted in digital PDF format and may not exceed 30 total pages (including all attachments and appendices).
2) Bids must be submitted via email and in digital (PDF) format to both members of the Athens Armory Project Team listed below to be considered:

3) Submission Deadline: Bids must be received no later than 5:00 p.m. EST on May 28th, 2025. Late submissions will not be considered.
4) Important: Bids not submitted to both Andy Stone & Sam Tuten of the Athens Armory Project Team as listed above will be deemed non-responsive and will not be considered.
