Through this Request for Proposals (“RFP”), the City seeks to implement an attractive, contemporary, robust, and user-friendly Recreation Management Software Solution ("Solution") to handle its multiple types of recreation-related transactions, activities, and reporting, including, but not limited to, class registrations, memberships, facility and park rentals, and point-of-sale transactions. Proposals must include all software, products, and services required to successfully implement, maintain, and support the Solution. Further information is provided in this RFP, including the scope of services, submittal requirements, proposal contents, the selection process, and other relevant information.
The City of Milpitas is located in Silicon Valley. Our full-service Recreation and Community Services Department serves a very diverse population that ranges from technically savvy dotcom engineers who handle all interactions online, to non-computer users who conduct their transactions in person with a staff member. We also have a high percentage of non-native English speakers, so an intuitive software solution is very important. Last year, our software system processed nearly 9,000 transactions valued at almost $3 million.
The City’s current recreation management solution no longer supports the City’s current and anticipated future needs. Customer participation and diverseness are expected to continue to increase over the coming years, so through this RFP, the City seeks a software Solution to help us expand the program and better serve our community.
