Background:
The Ohio Department of Natural Resources (ODNR), Division of Parks and Watercraft (DNR) will be provided lodging for a number of ODNR Staff who will be participating in the 2026 Ohio State Fair. The lodging dates will be staggered throughout the fair dates from Wednesday, July 29, 2026, through Sunday, August 9, 2026.  As Staff tend to come from across the State of Ohio, it is necessary that they are provided lodging with reasonable accommodations throughout the course of the Ohio State Fair. As the schedules of the Staff can periodically change, the lodging timeframe and duration are also subject to change, and therefore, we are seeking a fair amount of flexibility with potential room changes and/or cancellations. Ultimately, we are seeking a Hotel Lodging partner that can demonstrate adequate accommodations for approximately 10 rooms during a two (2) week period that also allows for flexibility with room additions and/or deletions. We want to ensure that our Staff are comfortable and secure as they provide services for the 2026 Fair.
Specifications:
The division is seeking a service provider that can provide for approximately 10 double occupancy hotel lodging for a period of approximately 2 weeks for our Staff. The 2026 Ohio State Fair will start on Wednesday, July 29, 2026. Hotel providers should offer reasonable accommodations as follows:

• Standard double bedroom.
• Air conditioning.
• Free parking w/ security and/or surveillance.
• Free Wi-Fi.
• Free breakfast / or reasonable rates.
• Indoor/outdoor pool (optional).
• Fitness center (optional).
• Flexible reservation/cancellation policies.
• Allow for reasonable government rates and state tax-exempt status.

Evaluation. The contract will be awarded to the lowest responsive and responsible bidder as determined by the State.

Contract Award. The contract will be awarded to the lowest responsive and responsible bidder by low lot total.  Low lot total will be determined by multiplying the unit cost by the estimated usage listed in the bid and then adding each of the totals together to arrive at a total for all items. Failure to bid all items may result in the bidder being deemed not responsive.
