Notice of Intent to Award a Sole Source
The City of Lynn Haven intends to enter into an agreement with:
Vendor: Aqua-Aerobic Systems
Goods: Replacement components for existing wastewater treatment equipment, including linear
actuators, limit switches, and associated stainless steel hardware.
Sole Source Determination
The City’s Wastewater Treatment Plant utilizes treatment equipment manufactured by Aqua-
Aerobic Systems as part of its wastewater treatment process. Certain mechanical components
within this equipment require periodic replacement due to normal wear and operational demands.
The parts identified for procurement—including linear actuators, limit switches, trip rods, and
adjustable trip collars—are manufacturer-specific components designed for use with the existing
Aqua-Aerobic equipment currently installed at the facility. These components are engineered to
meet the manufacturer’s specifications and operational requirements for the installed system.
To maintain equipment reliability, compatibility, and proper system performance, the City
intends to procure original manufacturer parts directly from Aqua-Aerobic Systems. Use of non-
manufacturer components could result in improper fit, reduced operational performance, or
potential damage to critical treatment equipment.
Based on information provided by the manufacturer and City staff’s review of available sources,
the City is not aware of alternative vendors capable of supplying these manufacturer-specific
components for the existing equipment configuration.
For these reasons, the City has determined that competition is not practicable and intends to
procure the specified components directly from Aqua-Aerobic Systems.
Opportunity to Respond
Any vendor who believes it is capable of providing the full scope of services described above
must submit a written response no later than:
2:00 PM CST on Thursday, March 19th, 2026

If no responsive submissions are received by the stated deadline, the City intends to proceed with
award to Aqua-Aerobic Systems.
The City reserves the right to determine, in its sole discretion, whether a responding vendor’s
qualifications demonstrate the ability to meet the City’s requirements.
