SCOPE OF WORK
Most purchases will be small quantity items such as:
• Hand Tools
• Assorted Nuts & Bolts
• Paint
• Light Bulbs
• Packaged Blacktop and Cement
• Nails and Screws
• Batteries
• Etc.
The items included are normal materials and products found or acquired in a standard hardware
type store.
The bid should include a discount amount off standard retail pricing.
The bid award will be determined by checking each bidders inventory and marked retail pricing;
the availability of items normally utilized; and the discount amount. The successful bidder(s) must
be located in Westchester County within 15 miles driving distance from Irvington, NY.
Multiple suppliers may be awarded the bid as required and necessary and as in the best interest of
the Village of Irvington.
PROPOSAL DUE DATE
Proposal will be accepted up until 11AM on April 22, 2026, either in the Clerk’s Office, Village
Hall, 85 Main Street, Irvington, NY 10533 or mailed to the attention of Karen Buccheri, Assistant
to the Village Administrator, to be received by the Bid Due Date.
Please return the completed Bid Form and Non-Collusive Bidding Certification by the bid date
indicated above.
RIGHT TO REJECT PROPOSALS
This Bid Proposal does not commit the Village to award a contract, pay any cost incurred in the
preparation of a proposal in response to this Bid request or to procure or contract for services. The
Village intends to award a contract on the basis of the best interest and advantage to the Village,
and reserves the right to accept or reject any or all proposals received as a result of this request, to
negotiate with all qualified proposers or to cancel this Bid Proposal in part or in its entirety, if it is
in the best interest of the Village to do so.
CANCELLATION CLAUSE
Any violation of the terms, conditions, requirements and/or non-performance of the agreement
resulting from this Bid proposal shall result in immediate cancellation. The agreement may be
cancelled by the Village and/or for any other reason(s) upon thirty (30) days written notice.
TERM OF CONTRACT
Award of this contract shall be for a term of twelve months with the mutual option to renew for
one (1) year. It is our intent to have this contract work commence June 1, 2026 and end on May
31, 2027.
ASSIGNMENT
The awarded vendor(s) shall not assign the contract or any part thereof without the written approval
from the Village of Irvington.
