NOTICE OF ADVERTISEMENT
Bids Titled, “ LANDSCAPING MAINTENANCE SERVICES ” may be submitted by U.S. Mail, personal
service, or courier service to the Township Clerk’s Office at 46425 Tyler Road, Van Buren Township, MI
48111. No bids submitted by facsimile will be accepted. Bids are to be delivered in sealed envelopes and
clearly marked as “LANDSCAPING MAINTENANCE SERVICES”. Bids will be publicly opened on
Thursday March 27, 2025 at 3:00 p.m. EDT, the deadline for sealed bids. All bids received will be publicly
opened and read aloud with total pricing immediately following in the Denton Room.
A mandatory pre-bid tour and meeting will be held at 9:00 a.m. on Monday, March 17, 2025 at 9:00
a.m. at the Charter Township of Van Buren Municipal Center, 46425 Tyler Road, Van Buren Township,
MI 48111. All questions by interested bidders are to be raised at this time.
All bids shall be delivered to the Van Buren Township Clerk’s Office in sealed envelopes and titled,
“LANDSCAPING MAINTENANCE SERVICES”. The outside of the envelope containing the bid shall
bear the name of the Bidder, their address, license number if applicable, and the name of the project for
which the bid is submitted, to include experience, equipment and minimum of three (3) references.

The scope of this contract shall include all labor, materials, equipment, supplies, service and insurance by the
Bidder to complete the bid entitled: “ LANDSCAPING MAINTENANCE SERVICES”. Bid bonds will be
returned to unsuccessful bidders when contract is executed with the approved bidder.
Each bid shall be accompanied by a bid security in the amount of five percent (5%) of the bid amount
subject to the conditions in the Information to Bidders. A bidder will be permitted to withdraw their bid
unopened after it has been deposited, if such request is received prior to the time specified for opening bids
and provided that their identity is made known and the responsible party signs for the bid. No bid shall be
withdrawn after the opening of the bids without the consent of the Township for a minimum of ninety (90)
days from the scheduled time for closing bids. Do not include such taxes in the proposal figures. The School
District will furnish the successful bidder with tax exemption certificates when requested.
The Township reserves the right: to accept any or all alternative bids; to award the Contract to other than the
lowest Bidder; to waive any irregularities of informalities, or both; to reject any or all bids; and in general, to
make the award of the Contract in any manner deemed by the Township, in its sole discretion, to be in the
best interest of the Township. Conditional bids will not be considered. The Charter Township of van Buren is

General Conditions
1. Bid prices are to include cost of all labor, materials, equipment, insurance and bonds necessary to
comply and perform under these specifications.
2. The Contractor is responsible for the care and maintenance of all lawn, planting beds, beds, trees,
decorative trees, shrubs and hedges and other lawn care maintenance as specified by the Van Buren
Township during the life of the contract.
3. The Contractor agrees to and requires their employees to disclose immediately or as soon as practical
any hazardous conditions that may be found during the performance of this contract. Said report is to
be made to Van Buren Township.
4. It is understood that all materials and equipment needed to perform the services are the sole
responsibility of the Contractor to purchase and maintain.
5. The Contractor is expected to meet all OSHA/MIOSHA requirements and State and Local laws and
Charter Township of Van Buren ordinances during the service of this contract.
6. The contract is for the 2025,2026 and 2027 mowing season with option to renew all or parts of the
contract for up to two (2) additional seasons at the sole discretion of the Township and on terms and
conditions acceptable to the Township.
7. Contractor shall provide emergency telephone numbers that will be answered by the Contractor, 24
hours a day, seven days a week.
8. It will be the Contractor’s responsibility to inform and train all employees working on this Contract
about methods, policies and procedures necessary to meet all specification.
9. The Township reserves the right to terminate the contract for any material breaches in the scope of
work at the Township’s sole discretion.

BID SPECIFICATIONS
Equipment
1. All equipment used must be maintained on good repair, safe and efficient and available for inspection by
the Township and shall be kept in working order at all times.
2. The contractor guarantees the reimbursement, repair and/or replacement and restoration of any
cultivated area damaged by carless or accidental use of equipment or machinery. The contractor agrees
to repair or replace any turf area, all surface features included but not limited too; fences, signs, poles,
trees concrete ,curbing, plant and grass damaged or destroyed by carless or accidental use of equipment
or machinery in the performance of this contract. The contractor is responsible for reporting all damages
to the Township.
3. The Contractor shall have full responsibility for storing equipment and supplies used in connection with
the work. No storage space will be provided by the Township nor will the contractor store any materials
or equipment on any Township property.
Quality Assurance
1. All work shall be performed by a company with a minimum of three years’ experience in the lawn-
cutting business.
2. Uniform shirts with company name displayed shall be worn at all times.
3. Being under the influence of alcohol or drugs are prohibited while working on Township grounds.
4. Employees of contractors are to be advised that no foul or obscene language will be tolerated and
no horse play is to occur. All work is to be performed in a professional manner and must be
reasonably acceptable to the Township. Deviation from these guidelines shall be considered a
breach of contract, resulting in termination by the Township.
Removal of Trash & Debris
1. Sites must have debris, and litter removed before work is performed. All litter or debris collected at
mowing sites must be properly disposed of by the Contractor. Contractor shall not be permitted to
dispose of this litter in public trash receptacles or any of the Township dumpsters.
Scheduling
1. Van Buren Township will be responsible for setting up the original work schedule and will advise the
Contractor of any variations to the schedule thereafter.
2. This project will be in effect through the entire 2025, 2026 and 2027 landscaping maintenance
seasons. If an option period is exercised the project will be in effect for that particular calendar year
lawn maintenance season as well. Depending on weather conditions work can begin in early to mid-
