IFB 1208 Targeted Vending Machine Repairs in Buffalo, Rochester, Syracuse/Utica, and Northern Regions
Description:

The New York State (NYS) Office of Children and Family Services (OCFS) has released this Invitation for Bids (IFB) to providers of repair services for vending equipment located in the NYS Commission for the Blind (CB) Business Enterprise Program (BEP) vending and food service facilities across four regions of New York State.

There are approximately 250 locations currently under CB operations throughout eight different regions. This IFB will target four of the eight regions. The specific types and current machines located in each of the four regions can be found on Attachment 4. Based on both past usage and current machines, estimated hours and parts costs are provided below. Contracts will be awarded for the following regions:

1. Buffalo Region: Niagara, Erie, Chautauqua, Cattaraugus, Allegany, Orleans, Genesee, and Wyoming County. (Current Machine Count: 199. Estimated annual hours: 130. Estimated annual parts cost: $10,000.)

2. Rochester Region: Monroe, Wayne, Livingston, Ontario, Seneca, Yates, Steuben, Schuyler, and Chemung County. (Current Machine Count: 57. Estimated annual hours: 20. Estimated annual parts cost: $800.)

3. Syracuse/Utica Region: Jefferson, Lewis, Herkimer, Oswego, Oneida, Cayuga, Onondaga, Madison, Tompkins, Cortland, Chenango, Tioga, and Broome County. (Current Machine Count: 78. Estimated annual hours: 20. Estimated annual parts cost: $800.)

4. Northern Region: St. Lawrence, Franklin, Clinton, Essex, and Hamilton County. (Current Machine Count: 0, up to 20 machines may be placed in the next three years. Estimated annual hours: 20. Estimated annual parts cost: $800.)

Prospective bidders may bid on one or more of the identified regions. Awardees will be ranked based on the lowest total cost for the region by applying the hourly rate and markup to the estimated hours and parts and summing the results. Vendors will be ranked in order from lowest total cost to highest. Additionally, awardees with the lower total cost in each region will receive priority when service needs arise.
