CASC is seeking bids from hotels ONLY with on-site conference facilities, including lodging, direct meal services, and conference rooms for a six (6) day training conference in Williamsburg, Virginia Beach, or Hampton Roads, Virginia in June 2026. Bids must be submitted in eVA. Bids must include hotel name, address, contact information for the on-site contact person and cost for items requested. See Scope of Service Document. Provide the US dollar amount for each item in the eVA item list. You are also encouraged to upload a separate document with bid details into eVA. SummaryCASC is seeking bids for 50 hotel rooms for five (5) nights, one meeting room for six (6) days, four (4) small breakout rooms for four (4) days, four (4) one-on-one meeting rooms for four (4) days, beverages & refreshments throughout the program, breakfast buffet, lunch buffet, dinner Sunday night, hospitality room for networking five (5) nights, complementary wi-fi, small refrigerator in a locked room, and parking for a training conference June 7-12, 2026, in Williamsburg, Virginia Beach, or Hampton Roads, Virginia for approximately 50 attendees. Itâs preferred that the venue have resort type amenities. Note: the final number of attendees could fluctuate slightly. See the eVA item list and the attached Scope of Services Required document for more details. Lodging and meals must be at or below per diem rate (resource: https://www.gsa.gov/travel/plan-book/per-diem-rates). Where applicable any service charges should not exceed 20%.
