NOTICE TO BIDDERS

The Jefferson County Board of Supervisors intends to use the Reverse Auction process to

purchase one (1) Tandem Axle Garbage Truck and Rear Loading Refuse Collection

Body. This contract shall be valid until January 1, 2030. Purchase price shall be valid for

two calendar year(s) and after the second year the awarding vendor may apply up to three

(3) percent inflation price increase. The following are the suggested minimum

specifications for one or more 2025 or 2026 model or newer Tandem Axle Garbage

Truck and Rear Loading Refuse Collection Body. All bids must be equal in performance

and quality pursuant to the bid specifications below, which are not intended to exclude

any manufacturer’s standard deviation. Any reference to manufacture’s make or series of

equipment stated in the following specifications is intended only to establish an

acceptable standard and is not intended to limit the bidding. Jefferson County is acting

under the authority of Section 31-7-13, Miss. Code of 1972 Amended, and reserves the

right to reject any and all bids.

1. Label bids as follows:

2. All Garbage Truck and Rear Loading Refuse Collection Body offered in the bid

must be new and in unused condition.

3. Any exceptions to the specifications must be listed in the Bidders bid with

justification. Failure to do so will disqualify the bid.

4. Price bid shall be for F.O.B. Fayette, MS - Jefferson County, and must include

any pre-delivery and/or setup charges, title fees and inspection fees.

5. The Bidder shall complete the unit price bid with no further calculations required

in order to determine the firm unit price.

6. Bid must be signed and dated by the Bidders Authorized Agent.

7. All bids must state Manufacturer Warranty.

8. All bids must state approximate delivery time for a completed unit as stated on

the “Bid Sheet”

9. Locations for parts and service must be included in the bid and will be a factor in

determining the best bid.

10. All Bidders must secure a bid sheet along with specifications. Bid sheet must be

completed in entirety before submission as a formal bid.

11. All Bidders must offer a guaranteed walk away residual for a 12 months, 24

months, and 36 month term, as stated on the “Bid Sheet.” All terms, conditions,

and/or limitations specific to the equipment at time of turn in must be clearly

stated.

12. It shall be incumbent upon each Bidder to understand the specifications on the

bid form and to obtain clarification when necessary. It is not the intent of the

specifications to limit the bidding process to any make or manufacturer, but to

fill a specific need and to perform a specific task.

13. The Board of Supervisors of Jefferson County, Mississippi reserves the right to

determine which the lowest and/or best bid is and to accept or reject any or all

bids based on that determination.
