Baseball/Softball Field Project. Faxes are not acceptable.

● All proposals must be signed by an authorized representative of the company.
● The District reserves the right to reject all proposals.
● Fox C-6 School District is tax exempt.

I. Introduction
The Fox C-6 School District desires to contract with a vendor to provide replacement and installation of
new turf for the baseball/softball field, in addition to a netting backstop system and new dugouts. Each
submission must contain a complete description of the features of the re-grading, leveling, type of turf to
be installed, features of the turf functionality and drainage installation, backstop system and installation,
and dugout features and installation. This description must specifically address the requirements listed
below in Section III g. 1-11.
II. Background
The District is a diverse, public school district located in Jefferson County in Missouri. The District
covers approximately 75 square miles, serves approximately 11,000 students and employs
approximately 1,200 staff. The district has 18 school facilities, including 11 elementary schools, 4
middle schools, 2 high schools, and 1 specialty campus. The governing body of the District is a
seven-member Board of Education. The Administration of the District is headed by the Superintendent
of Schools.
The District is requesting formal bids for services to provide for re-grading, leveling, and either seeding,
sod replacement, or turfing of the outfield to complete the project after the re-grading and leveling of the
outfield playing surface is complete.
III. Scope of Service and Performance Requirements
The purpose of this Request for Proposal is to obtain proposals for the replacement and installation of
new turf for the baseball/softball field, in addition to a netting backstop system and new dugouts. Each
submission must contain a complete description of the features of the re-grading, leveling, type of turf to
be installed, features of the turf functionality and drainage installation, backstop system and installation,
and dugout features and installation. This description must specifically address the requirements listed
below:
a. Description of projects staffing and administrative process.
b. Describe the credentials of the bidder, including similar projects previously done.

c. List of all requirements, materials, permits, equipment, and supplies needed to complete the
project.
d. Provide a detailed timeline of the project from starting date until completion,
including any and all phases.
e. Describe the process, materials, equipment, and workers to be used in the
completion of the project, ensuring compliance with all State of Missouri
Prevailing Wage laws and standards
f. Describe scheduling and communications with District personnel in relation to
project information.
g. Describe each phase in detail including, but not limited to:
1. Removal of current turf system/infill, laser grading of the base, and disposal of
existing system
2. Submit turf recommendations in relation to fiber type, height, weight, and the
process for turfing field consisting of turf, infill, backing, size of turf rolls,
concrete curb at edge of infield and lateral from dugouts, painted markings for
baseball and softball, and logo
3. Drawings of turf infield design including all painted markings for baseball and
softball including school logo placement
4. Warranty details for the turf infield including specifics time period, coverage of
materials and workmanship, GMAX rating or similar testing, and training of
maintenance staff using recommended equipment
5. Tie-back or tension backstop netting system (including posts/netting) with a
padded wall stretching between the home plate size of each dugout. The netting
system will extend to both dugouts
a. Backstop netting recommended a minimum of 30’ tall x 66’
b. Netting system extends to dugout a minimum of 66’ in length
i. Option 1:Add 8’ tall netting on top of the current fence from
backstop to dugouts.
ii. Option 2: Remove entire fence and replace fence with netting 16’
in height
6. Installation of front rail in home (3rd Base) dugout with padding. Needs to be
the entire length of the dugout. Rail will need to be installed on the inside of the
net for protective purposes.
7. Remove the top portion of fencing facing the playing surface on both dugouts
and replace with netting. 40’ x 4’
8. Install 2 new bullpens on the home side (70’ x 16), including turfed pitching
mound and plate area. Add 43’ pitching rubber to both bullpens for softball
accommodations. Pitching towards the track

9. Replace home(3rd base line) batting cage facility turf (80’ x 20’)
10. 1 new bullpen on the visitor side(1st base side). Install new turf on the batting
cage. (70’ x 8’)
a. Change direction of 1st base side bullpen. Pitching direction will be away
from the first base dugout
b. Add 43’ pitching rubber for softball accommodations
11. One (1) Softball pitching game mat
IV. Proposal Format
A. Preface
The Bidder will provide a summary of the services being provided, materials used, the process, and a
detailed timeline of the project. The Bidder will provide a clear cost for each phase of the project and
a total cost, in addition to rendering drawings for the field, backstop netting system, and bullpens.
Bidder must outline any additional costs for overages that may be nuanced to their organization but
which are not specifically outlined within this request for proposal.
B. Proposal
The District is requesting formal bids for services to provide for the replacement and installation of
new turf for the baseball/softball field, in addition to a netting backstop system and bullpen
renovations.
C. References
References are to be from government agencies and/or firms, which are substantially serviced by the
vendor (references most similar to District should be provided). Each reference must contain the
reference’s name, address, telephone number, and point of contact (including email address). Provide
a reference for each of the K-12 District. At minimum three (3) references are to be provided by the
bidder.
D. Questionnaire
Each Bidder’s response must include an introductory letter. Please provide responses to the
following information in order to provide a summary of qualifications.
