| As per the scope of work, a total of 70 signs are to be refinished and/or fabricated and installed. Could you please identify which signs are to be refinished and which are to be newly fabricated and installed? | 7/9/2026 1:50:18 PM | We do not have a preference as to what signs need to be refinished and which might be new. We only offer the opportunity to refinish or reuse components of signage if it is more economical. For instance, we reused many of the in-ground posts for our vehicular signage as it was more economical to refinish in place than to install new posts. It is acceptable to install all new components if you find that it is more economical to do so. Also, If any warranties apply only to the use of new components, that should take priority over reuse of old components. | 7/22/2026 8:53:06 AM |
| Is there an estimated budget allocated for this project that you can share? | 7/9/2026 1:50:53 PM | We don’t have an estimated budget to share. | 7/22/2026 8:53:40 AM |

| Thanks for the opportunity to bid this project. After reviewing the insurance requirements - if we currently do not have coverages like Professionality Liability but we have more Umbrella coverage than required, would that be allowed? | 7/13/2026 4:39:34 PM | So that the College remains consistent, and equitable with all vendors doing business with us, additional Umbrella liability limits cannot substitute for Professional Liability (E&O) coverage. Umbrella coverage is slated for General Liability that excludes design errors and omissions of those services rendered. The College requires a $2M Professional Liability policy please. | 7/22/2026 9:37:04 AM |
| Hello! In regards to the mandatory pre-bid on Friday, do you have an agenda or schedule as to how long you expect the meeting to last? I have another meeting to attend in Volusia County at 11:15 and will need to make arrangements if this will include a site walk, etc. Thank you! | 7/22/2026 4:04:13 PM | Hello. The mandatory meeting on Friday starts at 9:00 and is scheduled until 10:30. During that time there will be a site inspection. | 7/23/2026 9:17:06 AM |
| Please confirm that Attachment 4 – Pedestrian Wayfinding Schedule is the controlling document for sign messages, sign types, and quantities, and that Attachment 6 – VC Location Maps and Photos is the controlling document for field locations and existing-condition reference photos. If there is a discrepancy between the schedule, maps/photos, and signage standards, which document should proposers follow? | 7/28/2026 10:53:18 AM |
Attachment 4 is the controlling document to refer to and follow for proposers.

|
Physical signs vs. sign faces
Attachment 4 appears to include both single-sided and double-sided signs, with A/B side message records. Should proposers price the work by physical sign location, by individual sign face/message side, or both? |
7/28/2026 10:54:27 AM | Proposers should price the work by sign face and message side. | 8/3/2026 3:59:52 PM |
|
Final estimated quantity
The RFP references approximately seventy exterior signs. Please confirm the current intended quantity by campus and by sign type, or confirm that proposers should base pricing on the quantities shown in Attachment 4. |
7/28/2026 10:55:03 AM |
Base pricing on Attachment 4.

|
TBD / N/A / blank / remove items
Please clarify the intended scope for any Attachment 4 items marked TBD, N/A, blank, or “remove sign.” Should those be priced as removal-only, excluded, included as allowances, or priced using the closest comparable sign type? |
7/28/2026 10:55:20 AM |
All TBD is removed or clarified in new message schedule (ATTACHMENT 4 REVISED). N/A and remove items, please quote removal of signs. Blanks identify no printing and intentionally left blank.

|
Refinish/reuse vs. new fabrication
The Q/A states the College does not have a preference on which signs are refinished versus newly fabricated and that reuse is acceptable where economical. Would the College prefer proposers to submit separate pricing options for: a. reuse/refinish where existing components are suitable; and b. all-new sign assemblies/components? |
7/28/2026 10:56:15 AM | Pricing should reflect all new sign assemblies and components for the base scope of services. Alternate pricing can be included for reuse/refinish but not consideration for selection. | 8/3/2026 4:00:58 PM |
|
Reuse of existing components
Please clarify which existing components may be considered for reuse, including posts, pipe supports, overhead mounting brackets, foundations, anchors, or attachment points. |
7/28/2026 10:56:27 AM | This is to be determined at a later date. | 8/3/2026 4:01:32 PM |
|
Warranty responsibility for reused components
If existing components are reused, will the contractor be expected to warranty those existing components, or may the contractor limit the warranty to new materials, new hardware, and installation workmanship? |
7/28/2026 10:56:38 AM | Warranty should include all new components at this point. | 8/3/2026 4:02:05 PM |
|
Removal and disposal
Please confirm whether the contractor is responsible for removal and disposal of all existing signs within the project scope. Are any existing signs, panels, brackets, or posts to be salvaged and returned to the College? |
7/28/2026 10:56:55 AM | The contractor is responsible for disposing of old signage and any material. | 8/3/2026 4:02:41 PM |
|
Permitting and engineering
The RFP states the successful proposer will be responsible for properly permitting and engineering all appropriate signs. Please clarify whether permits and signed/sealed engineering are required for all sign types, only new post/foundation conditions, only overhead signs, or only where structural modifications are made. |
7/28/2026 10:57:42 AM | All sign types will need engineered drawings for the permit. PDCS is mainly considered how the signs will be attached to the post/structure. | 8/3/2026 4:08:53 PM |
|
Overhead sign attachments
For overhead/breezeway signs, can Valencia provide existing structural drawings, as-built drawings, or approved attachment details for the buildings where signs will be mounted? |
7/28/2026 10:57:55 AM | Sign drawings have been provided. We do not have drawing for the existing structural. | 8/3/2026 4:07:50 PM |
|
Fastening and securing methods
The RFP requires proposers to submit materials and methods for fastening and securing signs to existing buildings. Are there any restrictions on drilling, anchoring, penetrating exterior finishes, or attaching to existing overhead/breezeway structures? |
7/28/2026 10:58:30 AM | No restrictions. | 8/3/2026 4:07:10 PM |
|
Lift and equipment access
Will lifts, bucket trucks, or other access equipment be permitted on campus sidewalks, courtyards, breezeways, or pedestrian areas? Are there any ground protection, access route, weight, or staging restrictions that should be included in pricing? |
7/28/2026 10:58:54 AM | No issues with lifts on our property as long as they adhere to site safety. | 8/3/2026 4:06:36 PM |
|
Phasing preference
Does the College prefer the project to be fabricated and installed campus-by-campus, by sign type across all campuses, or in another sequence? If campus-by-campus is preferred, which campus should be prioritized first? |
7/28/2026 10:59:04 AM | No preference on which campus is first. We prefer to go campus to campus. | 8/3/2026 4:06:03 PM |
|
Artwork and production files
Will Valencia provide final vector logos, fonts, icons, arrows, approved message layouts, and production-ready artwork, or should proposers include design/layout production time in their proposal? |
7/28/2026 10:59:13 AM | Yes, Valencia provide final files. | 8/3/2026 4:05:33 PM |
|
Proposal pricing format
Tab F requests price ranges for each sign type and allows proposers to present one or multiple options. Should proposers also provide a total turnkey project price, campus-level totals, and unit pricing by sign type/location? |
7/28/2026 10:59:48 AM | Proposers may provide a total turnkey project price, campus-level totals, and unit pricing by sign type/location. Providing this additional pricing information can allow the College to evaluate both the overall project cost and the cost of individual sign types and locations. | 8/3/2026 4:04:58 PM |
|
Warranty expectations
Does Valencia have a required minimum warranty period for sign materials, paint/coatings, printed graphics, installation workmanship, hardware, posts, foundations, or overhead attachment systems? |
7/28/2026 11:00:36 AM | Valencia does not have a minimum warranty. | 8/3/2026 4:04:23 PM |
| Will Valencia College choose multiple vendors for this project? | 7/28/2026 11:01:36 AM | Valencia will select one contractor to handle this project. | 8/3/2026 4:03:51 PM |
| you mentioned that there are 2 types of signs needed, with a total qty of 70. How many of each style is needed? | 7/30/2026 9:34:56 AM | Please see the Attachment 4 sign schedule for reference. | 8/5/2026 1:52:14 PM |
