RFQ EXHAUST FAN REPLACEMENT-GICC
OBJECTIVE
PURPOSE
The City is seeking bids for the removal of the existing commercial kitchen exhaust fan and the supply
and installation of a new fan unit. Complete turnkey installation.

General Requirements
The Contractor shall provide all labor, materials, equipment, supervision, and incidentals necessary
to remove and replace the existing kitchen exhaust fan with a complete and fully operational
system.
The Contractor is responsible for verifying all existing site conditions, dimensions, utilities, and
access requirements prior to submitting a bid.

SCOPE of SERVICE
The work shall include, but is not limited to, the following:
* Demolition and removal of the existing exhaust fan, including proper disposal in
accordance with all applicable regulations
* Disconnect and secure electrical service in compliance with established lockout/tagout
procedures
* Furnish and install a new exhaust fan system (JencoFan model STXBHP36RHUL, 10 HP,
or approved equal), including roof curb and any required adapters
* Re-establish electrical connections, including all conduit, fittings, and components required
for a complete and code-compliant installation
* Provide and install any required curb adapters, structural supports, or modifications to
accommodate the new unit
* Perform all necessary ductwork modifications or transitions for proper fit and operation
* Seal, flash, and weatherproof all roof penetrations and system interfaces to maintain a
watertight condition
* Provide all necessary rigging and lifting equipment, including crane services if required
* Perform testing to confirm system airflow and performance meets or exceeds existing
conditions
* Conduct full start-up and commissioning of the new equipment
* Maintain a clean and orderly job site and perform final cleanup upon completion
Equipment Requirements
* Manufacturer: JencoFan or approved equal
* Model: STXBHP36RHUL (or equivalent)
* Motor: 10 HP
* Voltage: 208/230V or 460V (match existing service)
* Phase: 3-phase
* RPM: Approximately 1725
* Unit shall be UL listed and suitable for commercial kitchen exhaust applications
* New Unit
Performance Requirement:
Replacement unit shall meet or exceed the performance of the existing fan, including airflow
capacity (CFM), and shall be suitable for high-temperature kitchen exhaust operation.

Site Conditions & Coordination
* Project location: Convention Center - kitchen exhaust system
* Contractor shall verify:
Existing curb dimensions
Electrical service and disconnect location
Duct connection size and configuration
Roof type and condition
Access and staging requirements
* Work shall be coordinated with facility operations to minimize disruption
* Contractor shall adhere to all facility restrictions, including working hours and event
schedules (to be provided)
Permits, Codes, and Compliance
* Contractor shall obtain all required permits and coordinate inspections
* All work shall comply with applicable local, state, and federal codes, including mechanical,
electrical, and fire codes
* Installation shall not void existing roof warranty; contractor shall coordinate with
manufacturer if required
Scheduling Requirements
* Contractor shall provide a proposed lead time (if applicable)
Submittals & Closeout
* Submit product data and specifications for approval prior to installation
* Provide manufacturer warranty documentation
* Provide minimum one (1) year labor warranty
* Submit start-up and commissioning documentation upon completion
Completion Requirements
* System shall be fully operational, tested, and accepted by the Owner

INSURANCE REQUIREMENTS

* Any damage to roofing or surrounding areas shall be repaired and restored to original
condition
* Remove all debris and leave site in clean condition
ADDITIONAL INFORMATION
Site
Exact location -Kitchen- near employee entrance and executive parking.
Curb size and dimensions - Approximately 135 feet from the executive parking.
Duct size/connection type? The duct size is 38X38 inches.
Access (ladder, hatch, crane space). Access by stairwell or crane.
MINIMUM QUALIFICATIONS & GENERAL REQUIREMENTS
The vendor must be fully qualified and capable of providing all services described in this
RFQ and must possess all necessary licenses, permits, certifications, and approvals
required to perform the work in accordance with local, state, and federal regulations. The
vendor shall demonstrate experience providing audio, visual, lighting, rigging, and
technical production services for events of similar scale and complexity and shall employ
trained, experienced personnel to ensure safe and professional execution of all work.
INSURANCE REQUIREMENTS

Within ten (10) days of Notice of Award, and at all times that this contract is in force, the
contractor shall obtain, maintain, and furnish the City of College Park, Certificates of Insurance
from licensed companies doing business in the State of Georgia and acceptable to the City of
College Park covering:
Worker's Compensation I n a c c o r dance with O.C.G.A. Title 34, Chapter 9, as

Copies of these Certificates of Insurance shall be furnished to the City of College Park prior to
execution of the contract. Such policies shall be non-cancellable except on a thirty-day (30)
written notice to the City of College Park.
1. The CITY OF COLLEGE PARK (and any applicable Authority) will be shown as an
additional insured on General Liability, Auto Liability, and Professional Liability
policies and noted accordingly on the Certificate of Insurance.
2. The cancellation provision should provide 30 days' notice of cancellation.

Pre-Proposal Conference
The city has not scheduled a pre-proposal conference for this solicitation and does not anticipate
conducting one. The City has determined that a Pre-Proposal Conference is not required for a
Prospective Provider to submit a valid, knowledgeable response.
If necessary, Prospective Providers are welcome to visit the City and its environs at their leisure and
on their own time; however, tours of buildings, meetings, and/or discussions with City personnel
and/or elected or appointed officials regarding this solicitation are not to be scheduled, should not
take place, and, therefore, must not be anticipated.
Right to Reject Quotations
The City reserves the right to accept or reject any or all written quotations received under this Request
for Quotations, or to eliminate any or all Contractors Selected Provider responding to this Request
for Quotations from further consideration for award, and to duly notify any such Selected Provider
of the City's determination in the manner deemed most convenient by the City.
The City reserves the right to reject any written quotations that are submitted by a Contractor Selected
Provider using a form and/or format other than the form and/or format stipulated in the Scope of
Work Scope of Services and/or provided by the City, or an application that is in any way or manner
incomplete, illegible, irregular or non-compliant, and to duly notify any such Contractors Selected Provider
of the City's determination in the manner deemed most convenient by the City.
Right to Eliminate Non-Qualified Selected Provider from Award Consideration
The City reserves the right to eliminate from award consideration any or all Contractors Selected Provider
who submit an incomplete and/or inadequate written quotation response or who are not responsive to any
and/or all of the requirements stipulated in the attached Scope of Work, Scope of Services and to duly notify
any such Contractors Selected Provider of the City's determination in the manner the City deems most
convenient.
Right to Cancel Request for Quotations
This Request for Quotations does not obligate the City to select a Contractor or Selected Provider and/or to
procure and/or contract the Selected Provider for any goods and/or services whatsoever.
The City reserves the right to cancel this Request for Quotations, with or without substituting another Request
for Quotations, and, if so desired, terminate the process at any time. Cancellation of this Request for
Quotations may occur with or without cause or prior notification. Cancellation of this Request for
Quotations, with or without substitution, shall not result in any liability to any Contractor Selected Provider
for any reason whatsoever.
