REQUEST FOR PROPOSALS (RFP) PRINTER EQUIPMENT LEASING AND MANAGED PRINT SERVICES

Introduction
Northeast Florida Area Agency on Aging, Inc. DBA ElderSource is soliciting proposals from qualified vendors to provide printer/copier equipment, leasing options, maintenance, repair services, software solutions, supplies, and managed print services.
Scope of Services
Provide multifunction printers, copiers, scanners, lease financing, installation, training, preventive maintenance, toner and consumables, fleet monitoring, usage reporting, secure printing, and equipment replacement recommendations.
Equipment Requirements
Vendors should offer new or manufacturer-certified equipment with network connectivity, scanning capabilities, color and black-and-white printing, security features, and energy-efficient operation.
Proposal Requirements
Include company qualifications, equipment specifications, lease options, pricing schedules, maintenance response times, references, implementation plan, and value-added services.
Evaluation Criteria
Cost and value (30%), equipment capabilities (25%), vendor experience (20%), service and support (15%), implementation approach and references (10%).
Contract Term
Propose lease and service agreements for an initial term of three to five years, including renewal and upgrade options.
Submission Instructions
Submit proposals electronically to Tameka Gaines Holly by the specified deadline. Questions must be submitted in writing prior to the question deadline.
Reservation of Rights
The organization reserves the right to reject any or all proposals, negotiate terms, waive irregularities, and award in whole or in part.
