1. Introduction
Turner County Schools is requesting quotes from qualified vendors for the procurement
of equipment required for the upgrade of Distance Learning Classrooms at three Turner
County Schools locations. We are requesting quotes for solutions that support 72
classrooms, as well as telehealth, tele-counseling, conference rooms, media center,
and gym spaces. Equipment will be installed across three separate district-owned
buildings located within one mile of each other. Specific equipment counts by site are
available upon request. The quote should include all required equipment, accessories,
training, freight, and installation.
2. Project Objectives
The objective of this procurement is to purchase high-quality, reliable equipment that
is suitable for distance learning in an educational setting. The selected vendor will
be expected to provide the following:

Timely delivery and installation.
Warranty and post-installation support.

4. Requirements
Vendors submitting quotes must meet the following criteria:
Experience: At least 5 years of experience in supplying and installing equipment
for educational use. RUS DLT Grant Reports experience is preferred.
Certifications: Relevant certifications and product warranties for all proposed
equipment.
Capacity: Ability to deliver and install 19 units within 6 weeks of order
confirmation.
Support: Availability of customer support for installation, troubleshooting, and
warranty service.
Payment: The selected vendor must agree to a phased payment scheduled.
Specifically, the vendor shall accept payment for the required local cash match
portion of the total balance immediately upon completion and final acceptance of
installation. Invoicing for the remaining contract balance must be deferred, and
the invoice shall only be submitted after Turner County Schools has received the
corresponding grant reimbursements.
5. Quote Content
Quotes should include, but not be limited to, the following:
1. Vendor Information: A brief description of your company, including years
of operation and experience in the industry.
2. Product Descriptions: Detailed information on the models being offered,
including specifications.
3. Pricing: Itemized pricing for each unit, cable cost, freight fees, installation fees
(if applicable), and any additional costs.
4. Warranty & Support: Details of the warranty and post-installation support
provided for any/all equipment.
5. Delivery & Installation Timeline: Proposed timeline for delivery and
installation, including any flexibility in scheduling.

6. References: The name of two previous clients that can be contacted for a
reference who have purchased similar products.
6. Evaluation Criteria
Quotes will be evaluated based on the following factors:
* Compliance with the specifications and requirements.
* Pricing.
* Vendor experience and reputation.
* Warranty and post-installation support.
* Delivery and installation timeline.
* Customer service and support.
