Purchasing Department City of Wauwatosa – Request for Proposal
Worker Comp Third Party Administration and Claims Management • Issue Date: July 25, 2025
• Close Date: September 12, 2025 at 2:00 PM (CST) PROPOSALS REQUESTED: Formal proposals will be received at the office of the Purchasing Coordinator, Wauwatosa City Hall, 7725 W North Avenue, Wauwatosa, WI 53213 until 2:00 P.M. (CST) on September 12, 2025 at which time the proposals will be forwarded to the Review Committee for evaluation. This is not a public bid opening. The City of Wauwatosa is requesting proposals from qualified firms to provide Worker’s Compensation and Claims Management to assist the City in its efforts to create more creative management solutions as well as effective delivery of services all in accordance with the Request for Proposal document dated July 25, 2025 and this Official Notice. Copies of this request for proposal may be obtained by contacting the Purchasing Department at (414) 479-8958 or by emailing lschleimer@wauwatosa.net All document requests will be fulfilled via email. Proposals responses are due no later than the date and time listed above and shall be addressed to the Purchasing Coordinator, City of Wauwatosa, and marked ”RFP-Worker’s Comp TPA” in the subject line when submitting. Late submissions will not be considered. Note: The City email system will not accept files larger than 10 MB. If your proposal exceeds that limit, please provide your response via a digital drop box or FTP of your choosing and provide download instructions in your submission email. The proposal shall remain in effect for six (6) months after proposal due date, unless extended by agreement. The City plans for the contract with the winning respondent to begin January 1, 2026. Proposer certifies that their proposal has been made without connection to any other vendor and is, in all respects, fair and without collusion or fraud, and is made with the understanding that no elected official or Wauwatosa City employee has an interest, directly or indirectly, unless otherwise stated. The City of Wauwatosa reserves, exclusively to itself, the right to reject any or all proposals or to accept the proposal deemed most advantageous to the City and to waive any, or all, technicalities or informalities in submitted proposals. No proposals, alterations, or modifications to proposals shall be allowed after the official date of submission. PATENTED DEVICES, EQUIPMENT AND PROCESSES: It is understood and agreed that without exception, bid prices include all royalties and costs arising from patents, trademarks, and copyrights. The successful bidder shall, in all cases, indemnify and save harmless the City of Wauwatosa from any and all claims for infringement by reason of the use of any such patented design, device, material, or process to be used or delivered, and shall indemnify the said City of Wauwatosa for any cost, expense, and damage which it may be obliged to pay by reason of such infringement, at any time during or after delivery. For questions or clarification regarding this RFP, please contact Laurel Schleimer at lschleime@wauwatosa.net under the subject line: “RFP-Worker’s Comp TPA” no later than Thursday, August 7, 2025 at 2:00 PM. When deemed relevant, responses to those questions will be emailed to all RFP holders of record to ensure uniformity by not later than Thursday, August 14, 2025 by 4:00 P.M. (CST).
