REQUEST FOR PROPOSALS
OFFICIAL NOTICE Professional Services – Wauwatosa Website Redesign

PROPOSALS REQUESTED :  Formal proposals will be received, per the instructions below, until 12:00 P.M. on Monday, July 28, 2025.  Proposals received in response to this request will be forwarded to the City’s Communication Specialist for evaluation and consideration.   NOTE:  This is not a public bid opening.
The City of Wauwatosa, Wisconsin is soliciting proposals from qualified contractors to redesign the City of Wauwatosa Website (Wauwatosa.net) The City’s website was last redesigned in 2017.  Since then, our website has had the same functionality and customization options. The City is looking for an updated website with relevant design, a user friendly navigation experience, and some of the latest website best practices, including mobile first optimization and important accessibility guidelines.  Updates should aim to visually represent our dynamic community and experientially reflect our organizational values of transparency and innovation, all in accordance with the City of Wauwatosa Request for Proposal dated July 7, 2025 and this Official Notice.
Copies of the proposal documents may be obtained by contacting the City of Wauwatosa Purchasing Department Office, at  lschleimer@wauwatosa.net .  All requests for documents will be fulfilled via email only.

PROPOSAL SUBMITTAL

Proposal responses are due no later than 12:00 PM, Monday, July 28, 2025.  Proposals are to be a single PDF delivered via an email titled “Wauwatosa Website Redesign” to Laurie Schleimer, Purchasing Coordinator, lschleimer@wauwatosa.net .
The City’s email system will not accept files larger than 10MB, if your proposal exceeds that limit please provide your submission via a digital drop box or FTP of your choosing and provide download instructions in your submission email.

PROPOSAL TIME SCHEDULE :

Listed below are estimated dates and times of actions related to this RFP:

• Responses issued to submitted questions    Monday, July 21, 2025 at 2:00 PM

• Selection Interviews, if needed                        Week of Monday, August 11, 2025

• Contract inception date                                     November 2025

All questions regarding the RFI should be directed to Laurie Schleimer, Purchasing Coordinator, via email, lschleimer@wauwatosa.net, not later than 12 p.m. on Monday, July 14, 2025.  Questions, when deemed relevant by the Communication Specialist, will be addressed and responded to no later than 2 p.m. on Monday, July 21, 2025 and released to all RFP holders of record.  Please include “Wauwatosa Website Redesign” as the email subject line.
Consultants/firms are not permitted to contact individual City Council members or other City staff for clarification of the RFP.
Proposer certifies that their proposal has been made without connection to any other vendor and is, in all respects, fair and without collusion or fraud, and is made with the understanding that no elected official or Wauwatosa City employee has an interest, directly or indirectly, unless otherwise stated.
The City of Wauwatosa reserves, exclusively to itself, the right to reject any or all proposals or to accept the proposal deemed most advantageous to the City and to waive any, or all, technicalities or informalities in

submitted proposals.  No proposals, alterations, or modifications to proposals shall be allowed after the official date of submission.

PATENTED DEVICES, EQUIPMENT AND PROCESSES: It is understood and agreed that without exception, bid prices include all royalties and costs arising from patents, trademarks, and copyrights.  The successful bidder shall, in all cases, indemnify and save harmless the City of Wauwatosa from any and all claims for infringement by reason of the use of any such patented design, device, material, or process to be used or delivered, and shall indemnify the said City of Wauwatosa for any cost, expense, and damage which it may be obliged to pay by reason of such infringement, at any time during or after delivery.
