1.0 Introduction
The City of Gallatin is seeking bids for City Hall and City Hall Annex Grounds
Maintenance Bids are to be submitted no later than March 13th, 2026, at 2:00 PM in a
sealed envelope clearly identified “City Hall and Annex Grounds Maintenance” with bid
due date and time marked on outside of envelope.
1.1 Scope of Work
Awarded contractor shall provide all services mentioned in “Required Ground
Services” for Gallatin City Hall, 132 West Main Street, Gallatin TN 37066 and
Gallatin City Hall Annex, 118 West Main Street, Gallatin, TN 37066.
2.0 Vendor Requirements
Vendor must complete attached price sheet.
Vendor must maintain insurance requirements.
Pricing good for 1 year, with a possible one-year extension up to 3 years.
All Vendors bidding on this project are required for onsite walk around
inspections of job requirements with Melissa Milam.
Vendor is required to put dates and times that services were done on all
invoices.
3.0 Evaluation of Proposals
The City of Gallatin will award the contract to lowest responsible and responsive
bidder meeting specifications, quality, and performance standards pursuant to the
Municipal Purchasing Act of 1983. Response will be based on the following
factors:

Cost
Vendor track record, including references
Quality of service and product performance

4.0 Contract Award
The City of Gallatin reserves the right to reject any or all proposals and to waive
any informality found therein. The City of Gallatin will award a contract based on
evaluations described above. If the lowest bidder is unavailable when needed, the
city may proceed with the next lowest bidder. Contract will include months
April– November.
5.0 Required Grounds Services
Bed Management
1. All beds shall be kept weed free and maintained every two (2) weeks. Beds
include landscape area between City Hall building and sidewalks, raised
monument bed, 2 flower beds in front of City Hall, City Hall Annex, and the
obelisk bed on the corner.
2. Beds shall receive 2 pre-emergent herbicide treatments per year and all
necessary post emergent herbicides. Planting of Spring and Fall flowers are to be
in this bid as the City will buy the flowers.
Shrub Management
1. Shrubs should be trimmed in the spring before mulch is installed.
2. Shrubs should be trimmed back in late fall/early winter for new spring blooms.
Clean Up
1. All sidewalks shall be blown of landscape debris at the end of each visit with
trash being removed from the area first.
2. All debris shall be removed from the site at the end of each visit unless otherwise
agreed upon for composting on site.
3. Leaves shall be removed from beds during all visits for a crisp clean look
4. Expansion joints, cracks, and curb lines shall remain weed free.
Workmanship
1. All work shall be performed in a good and workmanlike manner by skilled
experienced workers. Employees shall be in uniform, with clearly designated
vehicle bearing the company name. Insurance shall be kept current.

8.0 Compliance Requirements
