Beer & Wine Vendor Services – Icehouse Amphitheater 2026 Season

The Town of Lexington is seeking proposals from qualified vendors to provide beer and wine sales services at the Icehouse Amphitheater during the 2026 event season. The selected vendor will be responsible for managing all aspects of beer and wine sales, including compliance with local, state, and federal regulations.

1. Introduction

The Town of Lexington is seeking proposals from qualified vendors to provide beer and wine sales services at the Icehouse Amphitheater during the 2026 event season. The selected vendor will be responsible for managing all aspects of beer and wine sales, including compliance with local, state, and federal regulations.

2. Event Details

• Location: Icehouse Amphitheater, Lexington, SC
• Season Dates: January 2026 – December 2026
• Typical Event Times: 5:30 p.m. – 10:00 p.m. (subject to change)
• Estimated Number of Events: 50+ (subject to change)

3. Scope of Services

The selected vendor must:

• Be willing to work with our Alcohol provider, Southern Crown Partners.
• Provide beer and wine sales at Icehouse Amphitheater events.
• Ensure all products and services meet applicable safety, health, and quality standards.
• Supply all staff, equipment, and supplies necessary for service.
• Maintain a clean and safe sales area, disposing of waste properly.
• Ensure personnel are properly trained, uniformed, and of legal age to serve alcohol.

4. Compensation to Town

• Vendor shall pay the Town of Lexington _____________ after each event.
• Payment is due to the Town of Lexington Finance Department (111 Maiden Lane, Lexington, SC 29072) during normal business hours.

5. Vendor Requirements

Vendors must:

• Hold all necessary permits and licenses to sell beer and wine in South Carolina.
• Maintain a current Town of Lexington Business License.
• Comply with all Town policies and hospitality tax requirements.
• Provide proof of general liability insurance ($1,000,000 per occurrence) naming the Town of Lexington as additional insured.

6. Proposal Submission Requirements

Proposals should include:

1. Company Information – name, address, contact person, years in business.
2. Experience – summary of vendor’s relevant experience with alcohol sales at public events.
3. Staffing Plan – number of personnel, training and certification details (e.g., alcohol service certifications).
4. Operations Plan – set-up, service, and clean-up procedures.
5. Insurance Certificate – proof of required coverage.
6. References – at least two (2) professional references from similar engagements.

7. Evaluation Criteria

Proposals will be evaluated based on:

• Compliance with submission requirements.
• Vendor qualifications and experience.
• Quality of proposed operations plan and staffing.
• Proposed menu and pricing strategy.
• Ability to comply with Town requirements, laws, and regulations.

8. Contract Terms

The selected vendor will enter into a contract with the Town of Lexington consistent with the attached Sample Vendor Agreement (see attached contract).

Key provisions include:

• Termination rights for the Town in case of non-compliance or safety risks.
• Vendor indemnification of the Town.
• Compliance with laws and licensing.
• Payment terms and reporting requirements.

9. Timeline

• RFP Release Date: September 16th, 2025
• Proposal Deadline: October 16th, 2025 at 11:59 p.m.
• Selection & Notification: December 1st, 2025
• Contract Execution: December 15th, 2025
