Annual Town Meeting 2025 - Audiovisual Services Request For Quotes (RFQ)

The Town of Hingham is seeking written quotes from contractors to provide the Town with audiovisual equipment and services for Hingham’s 2025 Annual Town Meeting scheduled to be held indoors at Hingham High School on Monday, April 28, 2025, at 7:00PM. We anticipate that the meeting will conclude on/around 11:00PM that evening. However, in the event the meeting continues to a second night, it will resume at on Tuesday, April 29, 2025 at 7:00PM.

Note* This event takes place at the Hingham Public High School and CORI's are to be submitted one week prior to the event. All CORI's are to be processed by HPS only.

The Town anticipates that up to 1,200 people may attend Town Meeting. Two rooms on the first floor of Hingham High School will be set up to accommodate attendance as follows:

1. Gymnasium: 1,000 seats
2. Auditorium: 500+ seats

In the event that the meeting continues to a second night, only the gymnasium will be used for the second evening.

The Town Moderator will lead the meeting from a podium at the front of the gymnasium. An Assistant Town Moderator will oversee voting procedures in the auditorium. All votes are taken in the first instance by voice vote.
