Adopt-A-Field (AAF) Request for Proposals

Montgomery County Public Schools (MCPS) Division of Facilities Management is looking

to provide Adopt-a-Field at all high schools. MCPS will consider applications from local

organizations interested in the Adopt-a-Field (AAF) program for its high school baseball

and softball fields for the 2026-2027 school year from July 1, 2026 through June 30, 2027.

This will be a one-year agreement with potential to renew partnership for a three-year term.

The AAF partner will be responsible for funding of field maintenance for the duration of

the year, and in return, they will receive priority usage of the fields over all other user

groups.

Please see the attached table (Attachment A) for the list of schools and addresses available

for partnership.

A partnership may consist of both the softball and baseball fields at one school at a

minimum; and all schools at a maximum.

MCPS has the right to decide to award or not award partnerships depending on whether

they will have an equitable distribution across the county and is very much interested in

finding partnerships for all high schools countywide.

If your organization is interested in participating in the program, please review the

following documents:

● Adopt-a-Field Application (Attachment B)

● Adopt-a-Field Rating Sheet (rater guidelines, which outline the specific criteria upon

which applications will be rated and a selection made) (Attachment C)

● MCPS maintenance requirements & policies on pesticide usage (Attachment D)

Upon review of proposals submitted for adoption of MCPS fields, a selection committee

composed of MCPS staff and a representative of Community Use of Public Facilities

(CUPF) will review proposals based on the criteria and may request interviews.

Visits to school fields are not scheduled at this time. If an organization wishes to visit the

school they should contact the school to make arrangements.

The following is the timeline for submission of proposals, their review, and the

awarding of agreements:

March 13, 2026 (by 2 PM)- Fully completed applications and supporting documents are

submitted to the MCPS Department of Planning and Construction at 45 W. Gude Drive,

Suite 4000, Rockville, MD 20850

On or about May 5, 2026 the AAF selection committee will potentially award an AAF

agreement to the selected candidate(s). Field owners reserve the right to revise this

schedule, defer awarding agreements, or revise their choice to have the fields adopted.

In order to be considered fully responsive, you must submit the completed

application, the school’s checklist and any other supporting documents referenced in

the application, together with two professional letters of reference.
