PURPOSE
The City of Pleasanton – Community Services Department is soliciting proposals for T‐shirts,
Long sleeve T‐shirts, Polo’s, Sweatshirts, Jackets, Woman Swimsuits, and Basketball Jerseys for
the next two fiscal years (July 1, 2018 ‐June 30, 2020). Please see Attachments A, B, and C in
the Excel file included with this RFP, for clothing item specifications, quantities, and RFP input
instructions.
BACKGROUND
Each year, the Community Services Department orders a variety of clothing items for its
programs and leagues. In an effort to consolidate ordering, the Community Services
Department is requesting bids for the next two fiscal years. It is understood that pricing may
change between the first and second year, though certainly the vendor that could provide the
same pricing for both years as well as being the lowest qualified bidder, would likely be
selected. Keep in mind that being selected to be one of the City’s vendors, does not mean the
City will expend all the funds identified on the Purchase Order, but instead provides a basis of
potential purchases for a given year.
BID REQUIREMENTS
The Community Services Department is seeking 1‐2 vendors that can provide the best pricing
for a two year period, July 1, 2018 – June 30, 2020. Vendors must provide pricing per the
quantities listed and for the brand/type/fabric/sizes of clothing items specified in Attachments
B and C. [NOTE: Equivalent or like products will not be considered]
The City may choose up to two vendors to provide the listed items, based on the lowest
qualified bids. Vendors may bid on as many items as they choose, provided that they bid on all
sizes listed by gender for that item. For example, if you bid on T‐shirts, you need to provide bid
for youth, women and men sizes and quantities.
The vendors with the lowest qualified bid for each item will be selected as the City’s preferred
bidder. For example, if Vendor 1 is the lowest bidder on T‐shirts, Long Sleeve T‐shirts, Polo’s
and Vendor 2 is the lowest bidder on Sweatshirts, Woman’s Swimsuits, and Basketball Jerseys,
then the City would generate a Purchase Order to Vendor 1 for the T‐shirts/Long sleeve T‐shirts,
Polo’s and a Purchase Order to Vendor 2 for Woman Swimsuits, Sweatshirts/ Basketball
Jerseys. If one vendor is the lowest bid for all items, then just one vendor will be selected and
one Purchase Order will be issued.
As a reminder, being selected as the preferred vendor doesn’t mean that City will purchase all
of the items and/or quantities estimated on Attachments A and B. Due to the variability of
participants in the Department’s programs and leagues, the quantity of these clothing items
needed often varies from one season to the next. Therefore, the exact quantity needed will
also vary in any given year.
The sizes and quantities listed are just examples, and are not necessarily the only sizes or
quantities the Department will purchase. These sizes and quantities have been estimated in
this RFP based on our current program needs, in order to give each vendor a common list of
items/sizes to bid. If the Department places an order that differs from the sizes and/or
quantities listed, the item cost may fluctuate slightly but still needs to be within the pricing
structure that is provided on the bid sheet. If there is a significant adjustment to the price on
any clothing item, the City may choose not to make the purchase and solicit other vendors.
This would only be done if the adjusted price for a slight change in quantity or sizes resulted in
a significant increase in cost to the City.
ESTIMATED ANNUAL QUANITIES
The Community Services Department estimates that it will order approximately; 2,650 T‐shirts
(cotton), 250 Long sleeve T‐shirts, 470 sweatshirts, 575‐T‐shirts (dri‐fit), 1,460 basketball
jerseys, 80 jackets, 230 Polo’s (cotton), and 230 Polo’s (Polyester) annually.

Include a cover letter with your vendor name, address, and contact person, and summary of
your bid, along with Attachments A, B, and C. Please submit three (3) copies of your proposal
