Pre Bid Meeting/Site Walk Through

There will be an pre-proposal meeting due to the nature of this RFP/RFQ. No verbal statements by ISU or its representatives at this
meeting will be binding. ISU will post all changes and material clarifications in the form of an addenda after the meeting.
The purpose of the pre-proposal meeting/site tour is to answer questions and provide further clarification as may be
required. Verbal statements made by ISU representatives at this meeting, regarding changes in this request for
proposal, will not be considered binding, unless confirmed by written addenda.
Please hold all questions until the pre-bid meeting.
Please email Tisha Campbell at tishac@iastate.edu prior to this meeting to indicate that you will be attending and how
many individuals will be in your group.

1 Introduction
Iowa State University of Science and Technology (ISU) is soliciting proposals from qualified contractors to provide
materials, labor and equipment to remove existing carpet, vct, sheet vinyl, rubber flooring, rubber tread, vinyl base,
and accessories and furnish and install new carpet, solid vinyl tile, sheet vinyl, rubber flooring, rubber tread, vinyl
base and accessories in Iowa State University's Frederiksen Court Buildings 71 and 74, in accordance with scope of
work, specifications, drawings and schedule.
2 Specifications/Scope of Work
Contractor to remove existing carpet, vct, sheet vinyl, base and accessories from halls, stairs and apartments in
Frederiksen Court Buildings 71 and 74 and prep floors for installation of new carpet, solid vinyl tile, sheet vinyl,
rubber flooring, rubber tread, vinyl base and accessories. Each building is a 24-unit apartment building.

Project Schedule
NOTE: Flooring in all bathrooms for all units will need to be replaced as indicated in plans
Premeasure, furnish, and install carpet, solid vinyl tile, sheet vinyl, rubber flooring, rubber tread, vinyl base and
accessories.
Apartment Flooring – Solid Vinyl Tile – Centiva, Event, Willow 3606 Techtonic, 6” x 36”, square edge, random
installation.
Alternate: Upgrade Centiva to Contour Series – Contractor shall include in its bid for this alternate the cost to
upgrade from Centiva Event Series to Centiva Contour Series at all locations scheduled to receive Solid Vinyl Tile
flooring. Centiva, Contour, Willow 3606 , 6” x 36”, square edge, random installation.
Bathroom Flooring – Sheet Vinyl – Shaw 0037V, Duratru, Upton, Broadway Beige #00101.
Hall Carpet – Interface, The Standard #1467302500, Sesame #9355, Non- Directional installation.

Entry and Stair Landings – Rubber Flooring – Nora Rubber Flooring, Norament Grano Tile, Ammonite #4896.
Stairs – Rubber Tread – Nora Rubber Flooring, Norament Grano Tile, Ammonite #4896.
Cove base – Roppe 700 Series Wall Base , 4.5” continuous roll, color Sahara #631. Accessories to match.
Transitions: Contractor shall provide and install 2”, silver-colored, fluted extruded aluminum transition strip at each
location of a change in flooring material, in both new-to-new, and/or new-to-existing locations. Transition strip shall
be centered under door leaf, if applicable. Contractor to provide sample for approval before ordering materials.
Furnish and install door stops, ACE 5294723 3” spring door stop, broad base, brass plated.
All sub floor preparation and flooring installation to be in accordance with manufacturers’ instructions and these
specifications. Contractor shall be responsible for modification of the sub floor where floors are changing from two
different materials/heights to one material/height, (such as the transition from the entry/kitchen area into the living
room). Manufacturer's Instructions: Submit printed instructions for delivery, storage, assembly, installation, start-up,
adjusting, and finishing, for the Owner's information. Indicate special procedures, perimeter conditions requiring
special attention, and special environmental criteria required for application or installation. Should manufacturers'
instructions conflict with Contract Documents, request clarification from Owner before proceeding.
Any doors that are removed must be replaced in the exact location that they were removed from.
Modification of the stair risers will be necessary to install Rubber Tread. See Stair Details drawing for photos and
section for approximate dimensions of existing conditions. Contractor shall be responsible for modification of the
stair risers to allow for Rubber Tread installation while maintaining code compliance.
Installation Timeframe
Work is to be performed within the following scheduled dates. The bidder acknowledges by submission of their bid
that they will conform to the Project Schedule and work cooperatively with ISU and all other Contractors to achieve
milestone completion dates. Contractor shall plan to mobilize multiple times and/or with multiple crews, if
necessary, to complete its Work. Contractor should indicate in their response if they can complete the work in this
time frame. Contractor will be allowed 24 hour/7 day access to the buildings during this time frame. See Attachment
“2024 Frederiksen Court 70’s Life Cycle Project Schedule”.

Bidders are requested to promptly notify ISU of variances between activities shown in the schedule and the work
shown on the Contract Documents.
If the Contractor fails to progress accordingly to the Project Schedule, including updated revisions, they shall
promptly implement additional means and methods of construction to make up for lost time and complete the Work
in accordance with the Project Schedule at no additional cost to ISU, except as specifically provided for in the
Conditions of the Contract. Corrections to activities failing to progress according to the Project Schedule will be
made on a weekly basis, if not daily basis, so that activities are back in accordance with the Project Schedule by the
start of work the next Monday. Means of correction shall include, but not be limited to, Saturday work, Sunday work,
additional weekday hours, additional manpower, etc.
If ISU notifies the Contractor of any change in the Contract or if other conditions arise which are likely to cause or
are actually causing delays, the Contractor shall notify ISU, in writing, within two (2) days of such notice, or the
occurrence of such conditions. This notice shall document the effect of any such change or other condition upon
the Project Schedule and shall provide recommendations for revising the Project Schedule with the reason
therefore.

Scheduling Work
Contractor will be responsible for coordinating the work schedule with ISU. Daily contact will be made with the Owner
regarding the area to be done.
Contractors daily reports
The Contractor's Superintendent shall maintain a daily log of the construction process, starting on the initial day of
site mobilization. Contractor may use their own form or construction industry standardized form.
Submit at least weekly to Owner.
Payment may be withheld for incomplete, inaccurate reports or missing reports.
Contractor's Daily Log to document the following information:
Day of the week and date
Contractor, Job Name, and Job Numbers
Temperature and weather conditions
Work force on site, itemized by labor type.
Identification of material purchased and delivered
Work performed each day
Problems, delay impacts, unforeseen site conditions
Deficiencies noted and corrective work performed
Special Assignments, added scope work, authorization
Signature of Job Superintendent
Project Contacts
Contractor shall designate two competent persons for the Project, one of which will be on-site at all times during the
performance of Contractor’s work. Contractor to provide ISU with contact information for those designated.
Existing Furniture
Each apartment contains Owner furniture and appliances. The Owner will provide all labor necessary to move the
furniture, appliances and toilets during flooring installation.
Construction Area
The Contractor shall limit his construction activities, including materials storage, to areas designated by ISU.
Removal of debris and clean-up
Contractor to include dumpsters and/or other means for disposal of debris by their own work. Contractor shall
include in its bid all fees associated with the disposal of debris, rubbish, and other materials resulting from
Contractor work.
Vehicle Parking
All Contractors are expected to follow University Traffic Regulations while on campus. Provide and maintain access
to fire hydrants, free of obstructions.
Parking for Contractor's firm owned vehicles is limited, in number and location, to parking spaces designated by the
Owner. Owner will provide two contractor vehicle parking passes.
Parking of additional firm vehicles and private vehicles of workers shall be in an area allocated by ISU Parking, Iowa
State University. Current anticipated location is at the southwest corner of Iowa State Center parking lot, with shuttle
bus service to the project.
Traffic and parking regulations of the University are applicable and violators are subject to fines for infractions.
Vehicles illegally parked may also be towed away and impounded.
Existing Facilities
Any damage caused by the Contractor to existing facilities shall be replaced by the Contractor at no expense
to the ISU.
