Is the district currently providing consumables in the latest contract? Or does the
vendor provide consumables? No, Contractor provides all products. (ex. toilet
paper, paper towels, soap, trash bags, stripper, wax, cleaning supplies &
Can you provide a job or duty description for the district building leads? MCS Lead
opens the building and helps work lunch. Inspects building each morning and
corrects any issues. They are full time working custodians.
Does the District want day porter coverage at each school throughout the summer?
The awarded vendor shall build a schedule to assure that all schools are ready by
July 15, 2024 for staff to return (ex. stripping, waxing, high dusting) This cost
should be built in to your proposal.
Who supplies light bulbs and ceiling tiles? MCS will supply.
Have there been any changes from the previously awarded contract to current request
bid? One site has increased sq. ft. from a renovation this past summer.
Is the scope/size of this bid identical to the current contract? The sq. feet has changed
at West Side due to renovation. The approx. total provided is listed in the RFP of
all facilities.
MCS gave a staffing number for day porter and night leads. There is no Floor Tech or
Vendor’s on-site? Floor maintenance tech is built into the current contract. All
submittals should do the same and have this cost covered under your proposal.
Please be advised that our staffing total listed on page 19 is a minimum
requirement. Vendors can adjust staffing as long as it does not fall under our
minimum requirement at each location.
How do we get current supply usage data? Kinds of products, quantities, etc? Current
supplies are controlled by our current vendor.
Who is responsible for providing event set up and post event cleaning for facility use?
Internal events that take place during normal weekday contracted work hours
must be covered under the contract along with supplies. Events that take place
after normal contracted work hours and weekends can be invoiced separately for
labor and supplies.
Can you provide a price form? Each vendor submitting a proposal can create their
own spreadsheet to reflect pricing requested as broke down by each school or
district office location as a monthly cost and then an annual total with any
necessary add alternate pricing included at the bottom.
Will the District require a performance bond to cover 100% of the contracted price for
this RFP? No
Is there any supervisory relationship between your Porters and our evening
cleaners? Yes. Our Lead Custodian can assign duties and inspect the next
morning. Do our folks work for your Porters? They will follow direction of our
Lead Custodian as our Lead is a working custodian.
Why has the current bid gone out for a new proposal? Our district policy reads that
you are only allowed to receive services for the 1st initial year of contract with an
option to renew for 3 additional 1 year increments. The current contract has been
with us for 4 years and a new RFP must be posted.
What would you like to change/improve with the current program? We strive every
day to improve the quality of cleaning services at each location.
Do you prefer email or hard copies of the proposal? Please be advised that the
Standard Terms and Condition is a template and not all information pertains to
the individual RFP’s. In this instance, we DO NOT accept email bid proposals.
All proposals have to be either delivered to our Central Office at 250 Howard St.
prior to the 10am deadline on March 28, 2024 or send via mail. Any bids received
after 10am on the due date will be disqualified from the bid opening. Please
disregard the information on page 2 stating email is acceptable. One (1) hard
copy of your proposal is all that is needed.
Page 4 under Minimum Qualifications, second bullet mentions we need to complete
and submit a Ga. Security Immigration Compliance Act. Document. We only need
this document for the awarded vendor.
Can you please describe your background check requirements? The awarded
contractor will have to get all employees fingerprinted using our internal HR
Dept. background check system. This cost is at the expense of the contractor and
runs approx.. $ 52.00 per person. Anyone that does not pass the background
check is not allowed to work in our school district.
