Description
STATEMENT OF OBJECTIVES
Naval Air Systems
Annual Conference:    14-17 April 2008
1. Objective
The Naval Air Station Patuxent River, Md. requires a conference facility to accommodate 110-120 attendees. This annual conference is to provide guidance on various policies and procedures and to promote teaming and networking.
     
2. Scope
The facility must meet the minimum requirements of the government for this conference.
     
3. Requirements
3.1 Dates: 14 - 17 April 2008 (4-days)
3.2 Conference facility must be within 10 miles driving distance of Dulles Airport
     
4. Customer Service- dedicated staff during event
                 
4.1    One (1) dedicated senior sales manager available entire conference
        One (1) dedicated operations manager available entire conference
        One (1) dedicated audio/visual troubleshooter available onsite for entire conference     
5. Main conference meeting room:
5.1    Must be a minimum of 7000 square feet.
5.2    Minimum two (2) skirted tables with chairs for a/v equipment and note taking in meeting room.
5.3    Minimum two (2) skirted tables with chairs for registration area adjacent to entrance to meeting room.
5.4    Wireless internet available within the meeting facilities.
5.5    Meeting tables to accommodate a minimum of 110 attendees.
5.6    Swivel Chairs for a minimum of 110 attendees
6. Set-up
6.1 Facility to set up full U shape with 1-row on each outside of U to seat minimum of 110 people.
6.2 Diagram of room configuration must be attached to quote.
6.3 Main conference meeting room must be set-up by the facility prior to 1730 (5:30 pm EST) on 4/14/08 and available to Naval Air System support team to test audio/visual equipment and make final set up arrangements.
6.4 Equipment to be furnished by conference facility and minimum quantities.

7. Break-out Rooms
7.1 Two (2)-separate breakout rooms for staff & briefer.
7.2 Each break-out room must be a minimum of 500 square
feet.
7.3 Each room must have tables and chairs to accommodate a minimum of ten 10) people.
8. Conference Room Security (Main room and Break-out rooms)
8.1 Restricted access flow for non attendees.
8.2 Dual entrance with restricted flow to allow security monitoring for all attendees entering and exiting through the conference.     
9. Food Service
9.1 Buffet Meals set up in main conference room due to continuous training.
9.2 Meals schedule:
Day    One      (1) April 14 - no meals.
Day Two        (2) April 15 - Breakfast, Lunch and Dinner
Day Three    (3) April 16 - Breakfast, Lunch and Dinner
Day    Four    (4) April 17 - Breakfast & Lunch.
9.3 Snack schedule:
           
Day One        (1) April 14 - no snacks
Day Two        (2) April 15 - 2-intervals/ Mid-Morning and Mid-
                            Afternoon
Day Three    (3) April 16 - 2-intervals/ Mid-Morning and Mid-
                            Afternoon
Day Four    (4) April 17 - Mid-Morning
9.4 Menu and snack selection must be presented seven (7) days in advance and approved prior to event.
9.5 Food to be available at a pre-agreed time.
9.6 Continuous Coffee / Beverage service:
        The vender will provide coffee / beverages in the main conference room for April 15-17 2008 to include coffee, tea, hot chocolate, bottled water, assorted    juices and assorted soft drinks.
10. Parking
10.1 Concierge & Valet parking available for minimum 10 VIP   
vehicles during the conference event.
10.2 Adequate parking on site to accommodate minimum of 110 attendees during conference event
11. Complimentary shuttle to and from Dulles Airport
12. Guest Rooms
12.1 Facility (at no expense to the Government) to block 50-75 guest rooms until 4/04/08 to allow attendees adequate time to book lodging.   
13. Security
13.1 24-hour security patrol during conference event
13.2 Well lit parking area
13.3 Conference room secured after meeting hours
