Description
The National Institutes of Health (NIH), National Institute of Child Health and Human Development (NICHD) has a requirement to procure conference space for up to 108 attendees for its Fourth Annual Meeting of Postdoctoral, Visiting Clinical Fellows and Graduate Students of NIH, April 24th- 25th, 2008.     Activities/arrival shall begin around 5:00 PM. on April 24th and departure will be on April 25th around 5:00 PM.

To maximize participation we plan to hold the event off-site, which will also ensure that participants are free from the day-to-day obligations of their laboratories, with a requirement for an overnight stay to ensure maximum participation in evening and early morning events. To identify the most effective site for our meeting, consistent with our space needs and training objectives, the following are specific requirements for the location: The location must be within a 50 miles distance from The National Institutes of Health main campus in Bethesda, MD, which ensures participants will remain for the duration of the retreat, particularly in view of continuous sessions, up to 10:00 PM., the first evening and all of the following day until 5:00 PM.     The required all inclusive overnight accommodations should consist of;

1.       Six (6) single occupancy Complete Meeting Package (CMP)    
2.       Forty seven (47) Double Occupancy (CMP) for a total of ninety four (94) people

The CMP should include the following:       begins with dinner and includes the following:           Guestroom accommodations that have data ports/wireless internet connections. Three consecutive meals, beginning with dinner the evening of arrival served buffet style in the Dining Room featuring hearty fare as well as vegetarian and health-conscious foods.       Sit-down private dining is critical for lunchtime speakers/activities.           General session meeting rooms (all meeting rooms should have windows) with specified meeting room set-up.           Continuous refreshment breaks complete with hot and cold beverages and a wide variety of snacks such as fresh fruit, yogurt, freshly baked pastries, veggies, chocolate items and soft cheeses.           Standard audiovisual including two flip charts, overhead projector, slide projector, LCD projector, projection screen, VCR & monitor, podium & microphone, hand held corded microphone, whiteboard, pencils & pads.           Guest Services/Concierge to assist with business services, email and computer access.           On-site Dedicated Conference Planner.

3.       A total of eight (8) Day Meeting Packages (DMP)/Day Guest Package (DGP) for eight people is also required


Additional Requirements for meeting/poster session room:    
A.       Breakout Rooms (size dependent), for one day
B.       Poster Session Attendant ( for one day)
C.       Poster Session Room (for two days)
D.       Additional A/V Equipment (for one day)
E.       One (1) Internet Connection (for one day)

The location should have an outdoor location (such as a gazebo) as we plan to hold our poster sessions outdoors.

Offerors may request a copy of the Request for Quotation (RFQ) prior to the closing date of this notice.           It is anticipated that the Request for Quotation (RFQ) NIH-NIDDK-08-104 will be available fifteen (15) days after the release of this synopsis.       Receipt of quotations will be due ten (10) days after the release of the RFQ.           Request for copies of the RFQ may be in writing to the National Institutes of Diabetes and Digestive and Kidney Diseases, 6707 Democracy Blvd., Room 774B, Bethesda, MD 20817 Attention:           Tina Robinson, or FAX 301-480-4226 or email @ robinsti@mail.nih.gov.       FAX quotations must contain offerors name, address, telephone number, fax number and valid email address.           FAX quotations will be accepted if dated and signed by an authorized company representative.
