This is a synopsis for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. Fort Carson intends to award a Firm Fixed Price Contract for conference services ata resort location. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on April 21, 2008, 8:00 a.m. Mountain Time. The Contractor shall reference request for quotation number W911RZ-08-T-0073. The Contractor shall propose the following Contract Line Item Numbers (CLINS): 0001 Lodging Rate ________ per night X 44 (#of rooms) X two nights = ___________. 0002 Food and Beverage Charges, 0003 Childcare Charges __________ per child X 80(# of children) = __________. The total proposed price shall also include any incidental charges within the room rate charge, to include parking, etc. The period of performance is 9 May 2008 11 May 2008. Statement of Work:
1. SCOPE OF WORK. The Contractor is responsible for providing all necessary lodging, meals, snacks, meeting facilities, childcare, audio/visual equipment and personnel to facilitate the conference in accordance with this SOW. Services and amenities required shall include:
1.1 Lodging for approximately 44 couples and their children, if applicable. Final number of attendees will be confirmed at an agreed upon date prior to May 9, 2008.
1.2 Provide morning breakfast buffets to include regular coffee, decaffeinated coffee, hot tea, juice, water, and assorted breakfast food items to include a morning of eggs and a morning of waffles.
1.3 Provide luncheon buffet, to include beverages.
1.4 Provide dinner buffets, including beverages. One of which will be for the dependents of married couples who will be on assignment.
1.5 Provide childcare for 80 children of training participants. Child care must be provided by a licensed child-care provider. Childcare shall include various planned activities for children agesfour and up. Activities may include, exercise, crafts, games, etc. Basic childcare shall be provided for children ages 3 and under.
1.6 One General Session room to accommodate 100 people to include seating. The room shall be in a theater setting and contain a skirted table for audio visual equipment.
1.7 Provide minor audio visual aids to include Proxima computer, screens, extension cords, power strips and speakers for each training room.
1.8 Provide water and cups for participants on a skirted table in each conference room.
1.9 Services shall include: room set up, tear down, audio visual hook ups and operation.
2. CONTRACTOR QUALIFICATIONS AND SPECIFICATIONS
2.1 Resort shall have a minimum of a three star or 3 diamond rating.
2.2 Resort shall be located a minimum of 85 miles from Fort Carson and a maximum of 180 miles from Fort Carson, CO 80913.
2.3 Resort shall be capable of providing all services and facilities listed in the SOW on premise.
2.4 Resort shall have a licensed childcare facility on premise.
2.5 Resort shall have a 24-hr business center on premise.
3. DAILY REQUIREMENTS
3.1 Friday, May 9, 2008
3.1.1 Must have five on-premise meeting rooms to accommodate 30 people (three rooms will be classroom setting with tables and chairs and two rooms will have round tables to seat 6-8 people).
3.1.2 Must have one on-premise meeting room to accommodate 100 persons (set up in a theater style).
3.1.3 Must have one six-foot skirted table with audio/visual equipment (power cables, power strips) in each meeting room.
3.1.4 Must be able to provide six podiums with microphones.
3.1.5 Must have one six-foot skirted table with water available to participants in each conference room.
3.1.6 Must have eitherwireless or cable LAN connectivity in rooms.
3.1.7 Must have a screen and white board with markers, erasers and cleaners in each conference room.
3.1.8 One dinner buffet (time to be arranged). Dinner is for all couples and their children.
3.1.9 Childcare shall be provided from 19:00 to 21:00.
3.2 Saturday, May 10, 2008
3.2.1 Must have a large theater style conference room to accommodate 100 people.
3.2.2 Must have one six-foot skirted table with audio/visual equipment (power cables, power strips) in each meeting room.
3.2.3 Must be able to provide two podiums with microphones.
3.2.4 Must have one six-foot skirted table with wateravailable to participants in each conference room.
3.2.5 Must have a screen and white board with markers, erasers and cleaners in each conference room.
3.2.6 Provide a breakfast buffet, lunch buffet and dinner buffet. Dinner buffet will be for the children only. (All times to be arranged)
3.2.7 Provide refreshments during the morning meetings. Refreshments shall include: coffee, tea, soda and light snacks.
3.2.8 Daycare shall be provided from 08:00 to 12:00 and 18:00 to 22:00.
3.3 Sunday, May 11, 2008
3.3.1 Must have a large theater style conference room to accommodate 100 people.
3.3.2 Must have one six-foot skirted tables with audio/visual equipment (power cables, power strips) in each meeting room.
3.3.3 Must be able to provide two podiums with microphones.
3.3.4 Must have one six-foot skirted table with drinks available to participants in each conference room.
3.3.5 Must have a screen and white board with markers, erasers and cleaners in each conference rooms.
3.3.6 Provide a breakfast buffet.
3.3.7 Provide refreshments during the morning meetings. Refreshments shall include: coffee, tea, soda and light snacks.
3.3.8 Daycare shall be provided from 08:00 to 12:00.

The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so.
