THIS DOCUMENT SHALL BECOME AN OFFICIAL PART OF THE ORIGINAL REQUEST FOR PROPOSAL DOCUMENTS. OFFERORS ARE STRONGLY ENCOURAGED TO REVIEW THE CONTENTS OF THIS DOCUMENT AND RESPOND ACCORDINGLY. ALL OFFERORS ARE REQUIRED TO ACKNOWLEDGE RECEIPT OF THIS ADDENDUM.

This addendum is issued to answer the following questions submitted.

Question 1:
If we hold group space today on any of the airlines that fly round trip between Savannah and Boston (Delta, US Airways, Continental, United, Air Tran, Northwest, and American) each of these airlines require, at a minimum, passenger names and ticketing on or before July 3, the same day as the deadline for submission of proposals to Purchasing. This deadline of course cannot be met since the agency ultimately awarded this contract will not yet have been selected, so it makes no sense to hold group space now.

On the other hand, if we wait until the very last minute, ie the morning of July 3, to hold group space, only about a month from the departure date and the deadline for proposal submission, each of these airlines require ticketing within 24 to 48 hours of the booking date, or at the very latest, July 5. The July 5 deadline, while not impossible to meet, is extremely unlikely given that July 4th is a holiday and past practices indicate that it will take longer than July 5, a Saturday no less, to select an agency. Thus, airline booking and fare information gathered on July 3 and made part of the proposal will have already expired by the time these proposals are considered and evaluated.

How would you like to proceed?

Answer:
If the award of this proposal is made seven (7) days or more after the opening date the district will allow up to a five (5%) percent increase in the airline rates.

If the award of this proposal is made fourteen (14) days or more after the opening date the district will allow up to a ten (10%) percent increase in the airline rates.

If the award of this proposal is made twenty-one (21) days or more after the opening date the district will allow up to a twelve (12%) percent increase in the airline rates.

The district will require supporting documentation for any rate increases requested.

Question 2:
Are there specific flights that the lead participants have in mind? If so, which flights?

Answer:
Departing flight:
Depart Savannah for Boston on Monday, August 4, 2008. Nonstop flights and flights with shorter layovers are favored.

Return flight:
Depart Boston for Savannah on Saturday, August 9, 2008. This flight shall depart early to mid-afternoon, arriving in Savannah no later than 10:00 p.m.

Prefer travel participants to be seated together as a group on flights, if possible.

Question 3:
Are there specific hotels that are noted that have been mentioned? If so, do you have that information?

Answer:
This trip is federally funded through the U.S. Department of Education. For this reason, room rates should be guaranteed at the lowest rate available. Please provide proof from the hotel that the lowest rate available has been provided.

Hotel accommodations should be arranged by the tour company and should be located within 1/4 mile from the Boston Common.
Provide pricing for both single and double occupancy.

Group participants in blocks of rooms close together when possible.

Room rates should not exceed the FTR (Federal Travel Regulations) rates allowed for the destination city during the stated travel time period.

All other terms and conditions remain unchanged.
