Indian Health Services (IHS) Division of Diabetes Treatment and Prevention (DDTP) is performing market research to identify capable businesses to perform clearinghouse and warehouse support services. The contractor s facility must be located within 60 miles of Albuquerque, NM. The estimated performance period for this project would be September 25, 2008 through September 24, 2009, with additional option years.

Tasks:

Receive new printed educational materials, catalog, inventory, and store until ready for distribution. Based on historical data, it is anticipated that the contractor will need approximately 3700 square feet but may need to be increased to 4200 square feet on an occasional and temporary basis. Maintain originals in a fireproof cabinet. Receive catalog orders through the DDTP Web ordering system. Track orders and provide DDTP summary reports of the orders. Review any unusual or unreasonable order requests, such as for a very large quantity or non-standard shipment rate, with DDTP Project Officer or designee before processing. Fulfill orders and ship within 24 hours of requests on Monday through Friday during an 8 hour work shift. Exceptions are holidays and weekends. Shipping rate should be the least expensive standard rate unless DDTP staff approve a higher rate to expedite delivery.

Maintain a database inventory of materials and notify DDTP as soon as a need to reorder threshold level is reached for any item. Allow sufficient time for DDTP to print or purchase more materials to replenish stock. The goal is to always have sufficient materials to fulfill orders within 24 hours of request. Maintain a database of mailing lists for various distribution groups. Notify DDTP of returned mailings so that mailing lists maybe updated with correct address/recipient.

Meet with the Project Officer to review contractor s plan/procedures for completing tasks, identify key personnel and their contact information, and develop a schedule for future meetings.

Meet with Project Officer semi-annually to discuss on-going projects and current status of material distribution and storage. Provide bi-weekly tracking reports via email and a CD copy by mail. Provide monthly productivity reports with invoice. Provide packing slip/receipt of items on each order with notes of any discrepancies.

All parties capable of providing these services are invited to submit information that includes company name, address, contact name, and telephone number, capability statement, two (2) references for contracts of similar size, scope and complexity, and your firm s socio-economic classification, including Indian-owned status. Responses shall not exceed 10 pages. The Government does not intend to pay for information received and does not intend to provide evaluation results to the sender. This is not a solicitation. No award will be made based on this notice. The information received will be used to identify potential sources in order to plan the acquisition approach. No cost or pricing data is required or requested.
